Zoom's Large Meeting Add-On - my experience

I recently had an experience using Zoom's Large Meeting Add-On for the first time. A couple of things were not intuitive, so I'm sharing them here! I have an individual Zoom Meeting account with annual subscription and a limit of 100 participants. First, it was super easy to add the Large Meeting feature on a monthly basis. Through the Account Management / Billing, I could see my account details and the options for "Available Add-Ons." You can add a Large Meeting Add-On to increase a meeting limit to either 500 or 1000 participants. It was easy to add this to my cart and make the payment. 500 participants is $50/month. Bonus - the monthly fee was pro-rated as I added this midway through the billing month. So my cost was only $22! However, the challenge was integrating this new capacity to my account - and I could find very little in the Zoom Help about this... Even after paying for the Add-On, my User Profile continued to show a 100-person limit. Here's what I had to do: Go to User Management - Select User - Edit User to select the Large Meeting Feature. This adds the Large Meeting capability to my user profile and makes it possible for me, as User, to use the feature. Once selected, this then changed my User Profile from 100 participants to 500 participants With this done, I was able to successfully run the large meeting! And when I cancelled the Large Meeting Add-On (as I only needed it for 2 meetings in November), the capacity continued to be available for the balance of the billing month. Hello all, Our client is proposing a set of blended face-to-face/ zoom workshops for participants from two different countries. Their idea is to bring the participants from one country together in a room with a big screen, and have the participants from the other country: Either come together in another room with a big screen, and connect via Zoom Or each dial in to Zoom individually The facilitator will dial in from her computer. A representative from the client will be present in the room (or rooms) where several people come together, and act as co-facilitator. I would appreciate some advice here from people who have done something similar, with particular attention to the following questions for both case A and case B: How to establish effective communication between participants from the two countries? How to organise group work between people from the two countries without interference? While these are the questions I could think of, you may know of questions I am forgetting to ask. Help with a large scale event?

Hi all, I am one of the co-chairs for the American Association of Sexuality Educators, Counselors, and Therapists (AASECT)'s Annual Conference next year. We will hold it remotely in June and are looking for proposals for support in putting on an event unlike what any of us have done before. Many of us are very skilled at facilitating in person and have very clear ideas about what we want out of a digital experience - we just aren't 100% certain about how to get there. The planning team is hoping to get a few proposals from experts in online facilitation that brings together human connection, learning, excitement, etc. for groups of 500 - 1000 (which is where our attendance usually falls). Hi there! Does anyone know what the limitations are for joining from Web browser of Zoom? I run a teamsession last Friday for a team of 8, some joined by web browser and mentioned that they can only see one speaker at the time. As I will be running another session on Mondayfor a small team of 5 again I wonder: - shall I spotlight all to make sure all participants are visible? - are there any other limitations I should be aware of for the participants joining by web browser? Shared content in Zoom break outs

Hi - I wonder if anyone can help? I'm designing a meeting process in which team leaders will send their teams into breakout rooms. There will be approx 5 breakout rooms per team and in each break out I want the smaller groups to be able to see shared content - at the moment this is likely to be one PPT slide that includes imagery and questions. The content for each of the breakouts will be different. At the moment I'm thinking of giving the team leader instructions to post the different content in chat so that the different subgroups can download their image and questions before they go into break out rooms. This means everyone in the break out will have the content on their screens while they meet. But is there another way of organizing for the content to be in the break out rooms so that the attendees can arrive in the breakouts and immediately see their content via a pre-loaded whiteboard or some other such device? Has anybody done anything like this? We're organizing this across 4,000 employees so there will be some 250 teams involved and I'd like to make the process as simple as possible for the team leaders. Hi there, Does anyone has experience with doing an Open Space in Teams? For example, let's say my client only sends out one link from the organization as the plenary. Can I prepare different links from my own accont (as external member) as break-out rooms? This way I do not have to 'bother' the organization in creating more links and can still have people go to different rooms? Thanks in advance for your tips and tricks :)

Dear facilitators, Has anyone used a greeter for larger meetings online? A client has suggested using the main zoom room as a 'greeting' room and then people go to a breakout for the plenary sessions. She would then stay in the main room to guide people who come late. I have never done this but I am curious if you have. If so, anything I should be aware of? As the plenary sessions will then have some breakouts, I am wondering how I would do breakouts if people are already in a 'breakout' room. Thank you in advance for your thoughts. Hello dear facilitators! I am inviting you to join in a movement and experiment to host people beyond polarizing dialogues in our communities! In Canada we currently have many divisive issues. I feel a deep desire to not end up further and further divided, but to connect back with who we are as people and what we want to create for a better world. I believe Canadians can be among world leaders in this regard. If you feel the same way, please consider joining this journey! The project is called the Spirit of Canada and our goal is to gather 50 facilitators from around the country to host heartfelt experiences in their communities, likely over zoom. Hi Folks, I'll be facilitating my food co-op's annual meeting (and a special meeting too probably, though they haven't sorted those details out yet) and need to figure out the best way to count for quorum and also get votes. I can imagine having someone check the participant counts several times, and historically we've used an online voting mechanism, but I'm hoping to use something that doesn't cost $6k this time around (money's tight with the pandemic). Hi everyone, I'm supporting a client with a staff member looking for a facilitation training. This is an up and coming staff person who facilitates some meetings (teams, committees) but does not aspire to become a professional facilitator. They will be facilitating some online meetings - though I'm looking for a training to recommend that is not only about facilitating online (need some of the basics about planning, purpose/agenda development). My organization has done a couple of basic programs (one that is 90 minutes and one that includes 2 90 minute sessions), but we don't have any public offerings on the horizon. Zoom + Slido + Google Slides for participatory meetings

Hi all, I've been exploring integrating Slido, Zoom, and Google Slides for participatory meetings but haven't tried it out with a group yet. I would love to talk with people who are using these three tools together and hear especially about how it works for meeting participants. Searching the archives of this group it looks like all of the conversations about integrating Slido may predate upgrades that allow all three to work together seamlessly? I can get a sense from demos and playing with Slido of how it would work as a presenter/facilitator, but I can't tell how it would look and feel and function for participants. Trying to find something within zoom that allows seamless visual collaboration, polling, real time wordclouds, and visual Q & A. If anyone would want to try this out together, I'd love to have some practice sessions with a small group. This is my first post after following for some months, thank you for creating this great space! Beth

Hi there! Does anyone know of a platform like this - Almanac? It allows for more robust collaborative editing than you find in GDocs or Word. I am working with an INGO network with 250 members, mostly in the EU and SE Asia. They need to collaboratively comment on and edit their strategic framework, and have a fast turnaround time for the final version. Almanac looks like it will be the perfect solution, but it is not accessible yet. Anything else out there?? Thanks! The Online Facilitation Unconference (OFU) is an annual learning exchange on ¡°the art and practice of facilitating in virtual environments.¡° Happening for the seventh time, the event will take place next week, October 19¨C25, once again alongside and as part of IAF¡¯s Facilitation Week. OFU brings together practitioners with a variety of backgrounds, skills, and interests from all across the globe. The goal is to provide a fun space for people to share, learn, and connect around all things virtual facilitation.
