Zoom join from web browser #technology #facilitation

 

Hi there! Does anyone know what the limitations are for joining from Web browser of Zoom?

I run a teamsession last Friday for a team of 8, some joined by web browser and mentioned that they can only see one speaker at the time.

As I will be running another session on Mondayfor a small team of 5? again I wonder:

- shall I spotlight all to make sure all participants are visible?

- are there any other limitations I should be aware of for the participants joining by web browser?

I have tried to do hybrid events with some people in a room and some people remote. They have been many different configurations. I would have to double down on what Steve is saying of "One remote -> All remote"...? It almost never has good results to do the hybrid format.?

You might be able to do small clusters if everyone is small clusters, but for the most part, one on one remote is the pattern that works. That is, everyone is on their own computer.?

One of the key magical pieces of that, is that everyone is at a keyboard.So you are able to jointly edit files, to have side conversations, take notes, and otherwise digitally engage more richly.??

It supports voting/polling much much better. It supports the opportunity to share other resources like book lists or article references. If a conversation is happening, then when someone mentions a resource, some of the audience can get the link to that resource and post it into the notes, or into the chat.?

We often create a shared editiable?google doc for all of the participants to jointly edit. This leaves us with a reasonable draft of key issues at the end of the conversations.?

That is hard to do any other way.?

When you have more than a few people physically in the same space, with a remote person on the other side, then the conversations shift to one side or the other, but not both.?
So someone gets cut out of the conversation.?

We have done information sessions, work sessions, even Angel investment pitches with these formats and learned the hard way about where it fails.

I have done it that way. One teeny but annoying glitch was that if you didn¡¯t invite at least one person, the meeting room name didn¡¯t appear, and so participants didn¡¯t know which room they were in and couldn¡¯t move from room to room.

?

Alternatively, if you know who is going to come to the meeting, you can set up a new Team for those people ¨C then create as many Channels as you want breakout rooms, and give them meaningful names. ?For participants to move between rooms, you can either put the links on a document or put the links in the chat of the main Team plenary room, or participants can get around themselves by going from channel to channel.

?

To get them back, I usually ask for volunteers to pop from room to room and ask them to come back. They are about as responsive as when you say the same in a physical workshop and they are having a good conversation!

In our team we regularly run complex sessions with breakouts in Teams - it does require some extra work/pairs of hands compared to zoom, but it can be done very effectively.

The main principal is creating several simultaneous meetings without 'lobbies', and calling these 'breakout 1, breakout 2 etc.'. You then need to copy the urls for these meetings and hyperlink them into the corresponding text 'breakout 1, breakout 2 etc.' You can then paste this hyperlinked text into the chat in your main teams meeting so that when people click on the text 'breakout 1', for example, it will take them into a separate meeting titled 'breakout 1'.

The main difficulty is is making sure that people come back into the main meeting when the round of breakouts is over. To do this you want to make sure that you have opened up the chats for each of the breakout rooms in your chats area on teams in advance. When the time comes, you can then send a link back to the main session into each of the chats in each breakout room (you will need to make sure to let participants know to press 'resume' when returning to the main session too).

This article gives the basics for this : . (Note that here they use a live document, such as google docs, as a place to keep the agenda with all the room links. You can do this, but we prefer to post the links to the breakout rooms into the chat so that it becomes one click for participants to join the breakout.)

Also, breakout rooms should soon be coming as a function in Teams so it may not be that much longer that it requires this extra bit of work.

Both A and B present a number of avoidable problems. I would not want to be the remote facilitator in either, unless it was to get some practice doing a very sub optimal thing.?

Polls

Poll icon disappears from menu bar once answered.

Can¡¯t do a poll, if you are the host who set it up.

¡¤??????Setting up the poll during the meeting resulted in not everyone seeing it.?

¡¤??????In some cases, the poll came up on the phone / iPad but not desktop

¡¤??????Considered if it was a ¡®same name¡¯ issue, ¡®same account¡¯ issue.?

¡¤??????Unresolved.?

¡¤??????To note, there are glitches.?

Random zoom tips

Can¡¯t show your Zoom menu bars in share screen unless you set it up in advance on the website. On the website, under settings, its ¡®show zoom windows during screen share¡¯.?

Chat tip: font size increase with command + (mac) and control + (PC)

You can move people around in gallery to the position you like by hovering on the square and moving it. The host can also set this up and its viewed the same by participants.?

?

Breakouts

People joining with older versions of Zoom (or by phone) can¡¯t move themselves to a room or between. However the host can manually move them to a room.?

People can log off upgrade and log back on really nicely and quickly.

¡¤??????From iPad ¨C the Leave Button ¨C once you press it you have option to leave breakout or leave the meeting. Perhaps note this to participants as there is hesitance to press a button that says Leave.?

¡¤??????? Ask for Help ¨C this asks the host to join for help in your breakout. If you are in the main room, the ? button is not available.?

¡¤??????If in breakout and using it as a pseudo plenary, remember no cloud recording. You must assign someone to record and share.?

¡¤??????Our experience with using the ¡®move yourself feature¡¯ in breakouts is that it works however when you change HOST in the middle of a session, the ability to move yourself gets removed. Only the new host can move people (manually).?

¡¤??????When host does breakouts where you move on your own, participant has breakouts in their menu bar (it appears), you need to hover over the number on the right to be asked to join the room of choice.?

Joining by phone breakouts:?

¡¤????hosts need to move you, you don¡¯t see broadcasts or hear them. There is warning before room closes and you can leave early by pressing # only once you are notified. ?

Spotlight

Multiple slide sharing

Screen sharing two people¡¯s slides. People can choose which slides to see in the screen sharing bar ¡®view options¡¯.

Can¡¯t annotate the slides when the New ¡®overlay¡¯ view is on. Can¡¯t annotate the ¡®other¡¯ slides if you are displaying slides.

From the chat:

Ordering video view?- Hosts can set up the order of the videos in Gallery mode. e.g. order panelists in the order they speak in.

Sharing music and slides - If someone has music sharing, someone else trying to share slides will take over and stop the music share. You can share slides and music from one account/computer.

Hello Michelle- how did this testing of new zoom features go? any summary you can share? I've heard about some of the new features, but have not heard of anyone actually using them yet.

We've actually been reaching out to facilitators to ask what's frustrated them about zoom breakouts, 200+ have responded so far, and their two most frequently mentioned frustrations, by far, are: 1.) It takes too much time to create breakouts and move participants in/out/between the groups; and 2.) once participants are in breakouts, the host can't speak into the groups to lead, facilitate, guide, instruct their participants. I heard zoom's new features addressed a portion of the former- participants can now move themselves between groups- but didn't read anything about the rest.

Curious to hear your group's findings if you'd be up to exchange notes (here our findings btw?).?

I'll be totally honest and unashamed in my assessment of your problem and my response here. If you are looking for an open space and fluid environment to host your event/meeting, Zoom, Teams, Google Meet, pretty much all video conferencing solutions are not the place to look. I've created a platform specifically for that () which will address pretty much address exactly the issues you're highlighting; but you can also explore other options like those mentioned by others: qiqo chat, wonder, spatial chat, etc.?

In Teams the biggest challenge is going to be access. If they are ALL in the system, not visitors, I think you can hack it. If they are non system members then you are likely to have quite a nightmare!

I have done this many times on Zoom... even with group size of close to 100. Worked great in the way that John is describing (moving people into breakout rooms as they arrive, after a short hello). Then we close the breakout rooms a few mins before we start to bring everyone back to the main room. It's helpful to let people in from the waiting room in batches, so you can welcome a batch (say hi, quick explanation of what's happening), then pop them into breakout rooms, then welcome the next batch. With the tech host we just figure out the right rhythm - it doesn't really matter how large the batches are, it's just easier than letting folks in one at a time. And we let folks know they they can click "leave room" if they need to return to the main room while they are visiting.?

Yes, I often will move people into the sub-rooms early, and then greet the people coming in and direct them to the right rooms.?

Then pull them back to the main room for the next phase of the conversation. However, this really only works well with small enough groups of people. Too many people coming in at once and you get things bogged down.?

A client has suggested using the main zoom room as a 'greeting' room and then people go to a breakout for the plenary sessions. She would then stay in the main room to guide people who come late. I have never done this but I am curious if you have.?

If so, anything I should be aware of??

As the plenary sessions will then have some breakouts, I am wondering how I would do breakouts if people are already in a 'breakout' room.?
