Urgent: How do we stop members' emails being displayed in notification messages (Oct2018)
For the past 3 days, members have reported that all the email addresses on each post are being included on the messages/notifications they receive from our group. How do we stop this from happening as soon as possible as members are concerned about their information being released. thanks SparkleFever from Digitising Divas Group |
SparkleFever,
For the past 3 days, members have reported that all the emailI can think of three things they might be concerned about: 1) The From address of the posting member, in the From field. 2) The From address of members quoted in the message body. 3) Their own address in the message footer. How do we stop this from happening as soon as possible as members areYou can't. (1) and (2) are in the nature of an email list. To and From addresses are always explicitly known to sender and recipient. (3) is harmless - it only shows them their own address. Some further information - although I don't know whether it's anything to do with it or not. In addition to the issue of flouting the EU privacy requirements, there may be another issue down the line with who would be held responsible for any breaches, as we lodge our email addresses on our groups.io account, not with google and the emails are sent from groups.io. |
Sparkle,
This has been asked and answered here ->?/g/GroupManagersForum/message/12391 As far as I know, the poster's email address is in notifications sent by Yahoo groups also so that is not different (they are in the yahoo groups I'm in).? Gmail may have masked the email address when displaying the message but if he/she views the message source of a yahoo notification, he/she should see the poster's address in the From field. As far as EU/GDPR Compliance, groups.io is compliant ->?/static/compliance As far as Google's access to the content of the email, any user of Google services has granted Google the right to access and use the content ->? "Our automated systems analyze your content (including emails) to provide you personally relevant product features, such as customized search results, tailored advertising, and spam and malware detection. This analysis occurs as the content is sent, received, and when it is stored."Thanks Toby |
SparkleFever,
Just to be clear, you mean messages posted to the group and distributed to members by email, correct? The term notifications often refers to email sent to members other than group postings. See the Member Notices tab of your group's Settings page for examples.
I use Gmail and haven't noticed anything unusual.
That may actually be new. One of my complaints with Gmail's interface on mobile devices is that only the display names are shown unless one clicks on the Show details button. That's understandable on the limited mobile screens, but may have been true also when using the desktop interface. On the desktop I routinely use Thunderbird as my interface, so I don't always see the webmail interface.
Gmail rolled out a new look not that long ago, maybe that's just now catching up with some people. Your private email address was not there before but it is now.? It was there all the time, as you could tell by clicking Show details, just not displayed by default. SparkleFever, In addition to the issue of flouting the EU privacy requirements, ... I disagree with the notion that what's happening is flouting those requirements: this is a normal and necessary part of the operation of an email list. As I understand it normal and necessary uses are allowed; but I'm not in the EU and I don't really have a direct interest in learning all the finer points of the regulations. there may be another issue down the line with who would be held responsible for any breaches, as we lodge our email addresses on our account, not with google and the emails are sent from . It isn't just Google or Gmail: it is every email service used by every one of your members (those who subscribe to Individual messages) - just as your email address and mine have been sent to a large fraction of GMF's members. There have been suggestions made in (the Groups.io official "suggestion box") that an option be created to allow groups to keep members anonymous from one another. But there's no indication that such a feature is being planned, and such an option might impose some restrictions on group features. A recent version of this suggestion was posted under the topic.
