Keyboard Shortcuts for Microsoft Office/M365 Suite
So often questions here (and elsewhere, for that matter) are asked with regard to what a given keyboard shortcut is for a specific function in one of the Microsoft Office/M365 programs. Microsoft has done an excellent job of documenting these, and you can often find the answer very quickly just by consulting the appropriate support page for the program for which you need a shortcut. So, to put it on record . . . A quick method to determine whether you are in New Outlook versus Outlook Classic
12
There are a ton of ways one might do this, but at the moment (5/11/2025) what follows is probably the simplest. With focus in your inbox message list, if you hit the Alt key, and only the Alt key . . . 1. If you are in New Outlook, you should hear your screen reader announce the following two or three words first: Ribbon region (NVDA) Home Tab Selected (JAWS) Ribbon tabs group (Narrator) 2. If you are in Outlook Classic, you should hear your screen reader announce the following two or three words first: Ribbon Tabs (NVDA) Upper Ribbon (JAWS) Ribbon Tabs Pane (Narrator) -- Brian ¡¤ ¡á? ¡¤ ???? ¡¤ Virginia, USA - Windows 11 Pro, Version 24H2, Build 26100; M365 Family; Android 13 (Xiaomi HyperOS 1.0.10.0) It is much easier to be critical than to be correct. ~ Benjamin Disraeli, 1804-1881

Switching to New Outlook while running Outlook Classic
4
At the moment, this has become simple. If I hit Alt + T, that throws the toggle for "Try New Outlook" and you then get a confirmation dialog asking you whether you want to switch or cancel. In New Outlook, if I hit Alt I can then just tab twice and I'm on the toggle to switch back to Outlook Classic. It should not be necessary to do this anymore for almost anyone. Several months ago the change was rolled out to the general public that allows you to start either New Outlook or Outlook Classic from Windows Search. How those are designated is showing some variability, but the only three designations I've seen are Outlook, Outlook (new), and Outlook (classic). Which two of those three are on a given system varies. On mine, the plain Outlook fires up New Outlook, and Outlook (classic) fires up Outlook Classic. For many months, I had only Outlook (new) and Outlook (classic). That changed a few months back for me. -- Brian ¡¤ ¡á? ¡¤ ???? ¡¤ Virginia, USA - Windows 11 Pro, Version 24H2, Build 26100; M365 Family; Android 13 (Xiaomi HyperOS 1.0.10.0) It is much easier to be critical than to be correct. ~ Benjamin Disraeli, 1804-1881

Anyone using gmx with outlook over 365?
Hi all, I am wondering if anyone using gmx email with outlook365. I am refering to the new outlook and not the outlook clasic. I tried adding my account but it says I might need an app password. This would not be a mager issue except that I have set this up in other email clients before and can do it just fine in thunderbird with no problem. I tried going through the prosses of setting up 2factor authentication but it doesn't seem to be excepting the codes used in the authenticater app. Anyone here using gmx with the new outlook and had trouble setting this up? Did you have to add 2auth on your account for this to work. Thanks all. Matthew

Downgrading to M365 Personal or Family Classic
10
I realize that the partial screenshot I am going to place in this post will not be directly helpful to many, but for those of you that do have sighted assistants around, it will show them precisely what they should be looking for. I'll also give a brief description of the identifying text for screen reader users. First, go straight to the cancel page for M365 for your account: https://account.microsoft.com/services/microsoft365/cancel?fref=billing-cancel If you're logged in to your Windows account and it's MS Account linked, this should take you straight there without having to do any of the steps from within MS-Word or another Office Suite program to get there. Here is what you should see, literally, if you scroll down the page a bit, it is not at the top: Bottom_of_M365_Cancel_Page.jpg There is a section that is labeled: Choose a plan that's right for you. Immediately beneath that are two boxes, both of which have bright yellow strips beneath the following respective text: - Current Subscription - Current Subscription without AI The first will show the new "default" form of M365 Family or Personal (depending on your current subscription) with the price increase related to keeping integrated Copilot after the trial period ends at your next renewal date. In the USA that's $30/year more than an existing subscription price. In my case, since I'm the primary subscriber for M365 Family, immediately below is: Microsoft 365 Family, $129.99/year. The second option, without AI, will show the price you're currently paying, as "Classic." In my case, immediately below is: Microsoft 365 Family Classic, $99.99/year. Then, after the list of services that go with the non-AI version, is a Switch Plan button which, if activated, would keep me on the Classic level when my renewal date arrives, leaving my current services unchanged. There is a third box, with no yellow banner, that reads Microsoft 365 Personal, $99.99/year, that is about the "with AI" version of M365 Personal. If you are a M365 Personal subscriber already, this box may either be entirely absent or might be replaced with one for M365 Basic. I just can't say. -- Brian ¡¤ ¡á? ¡¤ ???? ¡¤ Virginia, USA - Windows 11 Pro, Version 24H2, Build 26100; M365 Family; Android 13 (Xiaomi HyperOS 1.0.10.0) It is much easier to be critical than to be correct. ~ Benjamin Disraeli, 1804-1881

sounds and speech
2
Just a little response. Blind persons cannot see what is going on on the screen. It is good and wise to have sounds to inform us that something works, or something is turned off. I am having such a problem at the moment with my Windows 11 computer. My screen reader is not speaking, which leaves me stuck. It is possible the Windows 11 sound system was turned off by a tech guy. He says he played with the Power Options. When I got back from my walk there was no sound, my screen reader is not speaking. The shortcut to enable speech is not working. Without sounds and speech the computer is no longer accessible to a blind person. Gaston

Display Save Options Checkbox
5
Hi All, I'm running Office 2021 Pro, but when I received updates the other day Jaws reported that MS365 updates were downloading and did install, which is the way it's supposed to be from what I understand. Well, I don't know when this changed, but in Options / Advanced category, there used to be a checkbox that allowed you to turn on / off the displaying of save options. Does this setting still exist, and if so where do I find it?! I've looked through all the obvious categories in options, but I haven't come across it as of yet. I use the F12 key for saving, but this missing setting has got me more curious than anything else. Thanks mooy moocho. Take care. Mike. Sent from my iBarstool. Go Dodgers!

PSA: All Access to Google Accounts by Less Secure Apps Removed as of May 1, 2025
3
This should probably not hit most of our members here, but it's important to know, particularly if you know anyone using very old versions of Outlook (2013 or earlier) or any very old email client who has used it to access Google Mail, Calendar, and Contacts. Announcement for Google Workspace Admins: 1. Transition from less secure apps to OAuth. 2. Control access to less secure apps. From the second article referred to above: ---- Starting May 1, 2025, Google Workspace accounts no longer support less secure apps, third-party apps, or devices that ask you to sign in to your Google Account with your username and password. You must use OAuth to let these apps and devices access your account. Third-party email apps that are no longer supported include Microsoft Outlook and the mail app on iOS and MacOS. For detailed instructions and information, visit Transition from less secure apps to OAuth. For the latest dates, visit Google Workspace Updates. ---- A notice to end users was issued noting that this was beginning in January 2025, but lacks some of the details offered to Google Workspace Admins: Less secure apps & your Google Account -- Brian ¡¤ ¡á? ¡¤ ???? ¡¤ Virginia, USA - Windows 11 Pro, Version 24H2, Build 26100; M365 Family; Android 13 (Xiaomi HyperOS 1.0.10.0) It is much easier to be critical than to be correct. ~ Benjamin Disraeli, 1804-1881

Microsoft Outlook: Updated behavior for switching back from new Outlook to classic Outlook for Windows
A notice in the M365 Admin Center for M365 Business admins, but it's clearly happening for M365 Personal/Home too: Microsoft Outlook: Updated behavior for switching back from new Outlook to classic Outlook for Windows Coming soon: We will change how users switch back from new Microsoft Outlook to classic Outlook for Windows to make it easier for users to simultaneously use classic Outlook and new Outlook. When this will happen: General Availability (Worldwide, GCC): We will begin rolling out the default behavior to keep new Outlook minimized after a user switches out of new Outlook in mid-May 2025 and expect to complete by late May 2025. General Availability (Worldwide, GCC): We will begin rolling out an option to open classic Outlook without switching out of new Outlook in early June 2025 and expect to complete by late July 2025. How this will affect your organization: Before this rollout, if users switch from classic Outlook to new Outlook, they must switch back to use classic Outlook again. After this rollout, users will be able to use classic Outlook without switching out of new Outlook. When users select the toggle in new Outlook, they will have the option to open classic Outlook or switch back to classic Outlook. If users choose to open classic Outlook, it will launch right away without requiring the user to switch back. Learn more: Switch to new Outlook for Windows - Microsoft Support. If users choose to switch back to classic Outlook, new Outlook will be minimized in the taskbar and classic Outlook will launch, allowing users to seamlessly use both apps. New Outlook notifications and reminders will be suppressed for that session and classic Outlook notifications will be shown. This change will be on by default and will not change existing settings or defaults for your organization. What you need to do to prepare: This rollout will happen automatically by the specified dates with no admin action required before the rollout. Review your current configuration to assess the impact on your organization. You may want to notify your users about this change and update any relevant documentation. #newoutlookforwindows -- Brian ¡¤ ¡á? ¡¤ ???? ¡¤ Virginia, USA - Windows 11 Pro, Version 24H2, Build 26100; M365 Family; Android 13 (Xiaomi HyperOS 1.0.10.0) It is much easier to be critical than to be correct. ~ Benjamin Disraeli, 1804-1881

Narrator inconsistent in how it reads negative numbers in Excel for Currency and Accounting Cell Formats
First, let me note that this inconsistency is not exclusive to Narrator. It only gives no indication at all of the fact a number is negative if Currency format is used and the cell format to show the value in red if it's negative is selected. If the format includes the leading minus sign, it is correctly read as negative as it is if either of the parentheses enclosed formats of he Currency format is used. For Accounting format, the parentheses enclosed option does not directly result in the number being declared negative, but the presence of the parentheses is announced and for those familiar with Accounting format this is a clear indirect indicator that the value is a debit/negative value. This issue extends to JAWS and NVDA as well, with each of these screen readers being less reliable than Narrator is in regard to negative numbers not being reported as negative depending on the visual formatting choice that was made. I suspect that all of this is tied together based upon what is being exposed by Excel to the various screen readers, but I can't be sure about that. But anyone who uses Excel, and particularly for spreadsheets where money is concerned and either Currency and/or Accounting formats are used, will encounter issues with not getting accurate information for negative values far too often. Here's the Feedback Hub problem report I submitted: Narrator inconsistent in how it reads negative numbers in Excel for Currency and Accounting Cell Formats If you're someone who works with Excel and with monetary values in particular, you might want to upvote this problem and/or add your own additional comments.

The slow, but predicted, disappearance of the "Outlook (new)" designation in the Windows Search results
5
I already had the two things shown for the instances on my machine, which has M365, change to "Outlook" and "Outlook (classic)." Today I was working with a client who has Office 2021 Home and Business on her computer, and when we first fired up her computer the designations were "Outlook (new)" and "Outlook (classic)." After the most recent preview update to Windows 11 was applied, these changed to just plain Outlook and "Outlook (classic)." I now suspect this change is tied to a Windows update rather than any updates to Office or M365, and for that reason alone you can be sure it's coming to everyone as the update that makes this change rolls out. This change makes perfect sense since what started out as "Outlook (new)" is ultimately going to be the only Outlook. While the classic UI still exists through 2029, it's being distinguished as an alternative.
