What is the best practice for Pending Subscription notices for a restricted group

My group, like many, requires moderator approval before a member may join the list. I have set up and activated a Pending Subscription notice which asks prospective members to respond with the small bit of information we need to verify them.
I very much like this pending subscription notice. However, the prospective member gets both this pending subscription notice and the automatic confirmation notice. That seems a little messy. If there is no way to turn off the confirmation notice, then I may have to return to manually responding to each notice I get of a prospective member joining.? Are there better approaches to this common problem? Thanks! Jesse |

And you don?t approve the prospective member before you haven?t received and controlled their answer to the notice. This is necessary to confirm that they actually own the provided email address and want to receive group messages there. They must click on the link in that email to validate their account. It cannot be turned off, but can be avoided by using some other means to sign up (send them a Invitation, have them send a +subscribe message, etc). The Welcome Notice ensures that new subscribers are informed that they have actually joined up before they begin to receive group messages. If you don't create one, groups.io will send a generic one. It cannot be eliminated, either. You can inhibit sending of a Pending Subscription notice by not creating one. See?/static/help#membernotices?for further details. Regards, Bruce |
Bruce, The Welcome Notice ensures that new subscribers are informed that they have actually joined up before they begin to receive group messages. If you don't create one, will send a generic one. It cannot be eliminated, either. I believe it can be eliminated: Create one, then uncheck its Active Message box. Having (at least) one in your Member Notices avoids the automatic creation of one for you. Having none marked Active Message means none are sent. There was a time when you were required to have at least one active, but that is no longer the case. I'm going to de-activate the Pending Subscription notice and contact prospective new members manually to ask for the required information. Does Groups.io have an option to ask for information when the user signs up? Yahoo has this feature and it was a big time saver for my list. The answer to the question would be included in the email to approve the member. I haven't yet seen this feature in Groups.io admin. Much appreciated, Jesse |
For our moderated group, the Pending Subscription notice is the important one, as it informs them that they have not been accepted and that they will not be accepted unless they have met other requirements (attending an in-person meeting, completely outside the scope of Groups.io).? So what I found confusing in my tests was that the subscriber received the custom 'pending' notice that essentially says "sorry" and at the same time receive a confirmation as though they are in.
To me it would make more sense to hold that email address verification/confirmation until after they have been accepted into a private group. Howard |

I made a new Gmail account and tested this. Made some screenshots and updated the wiki page. It works! And the member can't jump the gun and get in early. See it. Frances, thank you for the wiki page. However, I've been testing this today and I am seeing a slightly different sequence of events.
I have a restricted group and an active Pending Subscription notice. When someone applies for membership through the group home page, they receive both?the automatic confirmation and the Pendiing subscription notice. The receipt of those two messages occurs without the member or the moderator taking any action or responding to any message. I thought that the Pending Subscription notice is not sent until after the user confirms their email address. But that doesn't match what I'm seeing. For the purpose of these tests, I'm being both the prospective member and the moderator so that I can control the test. Jesse |

Jesse, I thought that the Pending Subscription notice is not sent until after the user confirms their email address. But that doesn't match what I'm seeing. It differs based on whether the person uses the home page button or the email +subscribe command. With the +subscribe command the confirmation is required first because the incoming +subscribe might be coming from a spammer or virus spewing messages to every address they've scraped from the web. So weeding those out first seems sensible. With the home page button there's much more confidence that the action isn't being taken by a spammer or other robot, so the Pending Member notice is sent promptly to help move things along. This has been debated a few times in beta, with some people more concerned about the apparent inconsistency, and others more concerned about not putting delays in the process. I tested it to see if I could get in before I had approved my test email account in my group. I got that error message. The new email address could not access the group. And I used the "send me a link to login" link since I hadn't done anything with that address before. If you didn't approve the "person" i.e. the new email address, as a member, try to have them join again. I did it using the subscribe email address from the group homepage. Since the "person" has an email address known to Groups.io, you probably won't get the intermediary email about joining Groups.io But bottom line, they can't start posting or looking at your message archive until after you have approved them. I just sent an email to the <[email protected]> address from both an email that already has a Groups.io account and one that does not.
[ GROUPNAME was replaced by the actual group name ("Group Email Address" from: Admin > Settings > General ] They both received this messages: Subject: Confirm your Groups.io subscription Thank you for your interest in Groups.io and the group [email protected]. To complete your subscription, please reply to this email. If you did not request - or do not want - a subscription to this group, please accept our apologies and ignore this message. --- What is confusing is: - That the "interest in Groups.io" part is included when sent to an email address that already has a Groups.io account. AND - That an email address that does not already have a Groups.io account probably doesn't not understand the twofold nature of confirming their address and their interest in the group [email protected]. IT WOULD BE CLEARER IF: 1) An email address that already has a Groups.io account would receive: Subject: Confirm your GROUPNAME Groups.io subscription Thank you for your interest in the group GROUPNAME @groups.io. To process your subscription request, please reply to this email. If you did not request - or do not want - a subscription to this group, please accept our apologies and ignore this message. -- 2) An email address that does not already has a Groups.io account would receive: Subject: Confirm your Groups.io account and GROUPNAME Groups.io subscription Thank you for your interest in a Groups.io account and subscription to the group GROUPNAME @groups.io.
