You unfortunately can't expect everyone to understand if the topic is locked,
the intent is to stop further discussion on it. Not everyone gets it, and if
they really want to voice their opinion, they'll do their best to find a way to
do it.

You might place this person on moderation and send him a warning. If he's not a
frequent poster, it might be worth the trouble of approving his posts to see it
doesn't happen again. If he knows he's being moderated, he may not try it again,
especially if you reject one of his posts for doing the same thing.

I don't like being the bad guy but sometimes I have to be.

thanks for your insight and comments on locked topics. I learned a couple of things. I Finally figured out what happened, I was CCed personally on the email which came through in the attempt to post to our message board. The message to our message board resulted in an error message to the sender.
He obviously figured it out and then replied with the same message to a different topic header. Sigh!

I'm sure you probably did, but there are ways around the lock.

If someone forwards a message instead of replying -- or simply types a new message with the same subject line -- there will be no in-reply-to: field in the header. At that point groups.io will apply the threading algorithm found at?/g/GroupManagersForum/wiki/6321?(I'll let you read that on your own) to determine if the incoming message is actually part of an existing topic. If it doesn't meet the criteria, a new topic is started.

This is to accommodate brief, nondescript subject lines like "Need help" or "Check this out." You wouldn't want all such messages to be threaded into a single topic until the end of time. Or maybe you do, but most people don't.

Generally, please double-check to see that the new message is actually within the locked topic. Just because it has the same subject line doesn't mean it's in the same topic.

I'd have a look at the source code for the message that posted.? I suspect it doesn't have an "In-Reply-To:" header.? If not, then I think he discovered a bug.? Part of the threading algorithm is to add a message to an existing topic if the subject line is identical and the topic is less than a few days old.? Because the topic is locked, it shouldn't have, but sounds like it did.? Is there another entry for the message that actually posted?

The activity log says this person attempted to reply to a locked topic. I will be sure he did not modify the subject line to get around that.

I don't think you'll have much luck making a custom version from scratch.? There are examples of the standard and a customized version of the invitation in the wiki.? Using horizontal lines, bold, italic, etc. could draw people's attention to your customization and emphasize that a simple reply to the email invitation will get them signed up for the site (if they don't already have an account) and into your group.

Thanks -- that could be the helpful clue I need (or mean that a completely
customized invitation email is not feasible (except maybe with some custom
programming to generate a customized invitation for each invitee).

Thanks to both of you -- this gives me some ways forward.

I do wish there was a simple way to create a completely customized invitation
email that behaves the same as the boilerplate one (that is, people subscribe
by simply replying without the need for confirmation).

I suppose that if I carefully deconstruct the boilerplate invitation letter I
might be able to create what I want -- it will be on my ToDo list, which is
much longer than I would like.

Indeed. My approach has been to insert my bit in bold italic to draw eyes towards it and away from the boilerplate component.

My last one, for instance said in the insert:
For simplicity, just [reply] to this email to accept the invitation. Any other approach may require you to go through a separate verification step.
You can, of course, just ignore this invitation to join the list if you don't want to receive club emails.


I will add that everyone had received a prior email warning them of the coming of the invitation.

Your best option may be to create an "invitation email" of some kind that contains a mailto: link to the group's +subscribe address.?

Completely customized invitation email

 

I apologize because I'm not doing any research before writing this.

I created a group for family communication among members of my extended family
a few years ago, and after trying to customize the invitation letter (as I
recall, it is a "form letter" which had / has a place to insert some
customized text.

I had trouble wording that added text to be unconfusing to (often non-computer
literate) members of my family, so gave up, and tried to create a completely
customized invitation letter.

That didn't work -- iirc, if someone clicked on what I intended to be the link
for them to sign up, they signed up in my name, which made a confusing mess.

Are there instructions anywhere on how to create a completely customized
invitation letter along with a link that will properly subscribe them in their
own name and email address?

(I am subscribed to this list, but often don't read it for months at a time --
I'll watch it for the next week or so to see any replies, but if you reply
after that time it would be helpful if you cc me so it shows up in inbox (and
not filtered and sent to my groups.io folder).

Marina -- The only way I've had this happen is if I set the default editor to Plain Text in my personal account preferences (/account?page=prefs). Having done so, any Member Notice you create will remain in that format until deleted/superseded. So you must have done that at some point.?

Group settings has no bearing on this...if the group itself is set for Plain Text message delivery you can still create Member Notices in HTML.

Moderators and Owners can reply/post to locked topics. I'm not fond of that, but it is what it is.

I locked a topic. It has the locked symbol. I am the owner of the group. ?A subscriber just replied to that topic. The documentation says you can¡¯t do that.

Probably not an easy change because of the way the site works.? It uses the editor that's needed based on the content being edited.?
Or maybe based on one's specific general setting?
I must confess that I am still puzzled.
If I write a new notice without any formatting, in plain text, when I open the notice again the formatting bar is there.
I don't understand how I could have written those two notices stuck in plain text.
Unless at some point I changed a general setting on GIO and that affected all following messages.

Thanks Bruce. She does log in to look at messages online ?But you are correct, it doesn¡¯t help much in the midst of a dynamic discussion. Unfortunately she¡¯s president of an organization and the person she can¡¯t get emails from is the treasurer. Oops!

If she has any mail filters set up, have her check them thoroughly. I'd bet she has one that is [inadvertently] heading off these messages.
