Spoofing email addresses

Pete Spotts

Sorry folks, a newbie here. What's the best way to prevent people from using another member's email address to plant a faux post from the unsuspecting member? We've just set up our account and I've been able to file a test post using another member's email -- his email address, my signature in the body.

I know, too much time on my hands.

With best regards,

Pete

Re: Group Moderation Question #groupowner #moderation

Colin,

Other ideas?
Only a previous one: in beta@ "bump" the idea of having an option in subgroups to allow primary group members to post without moderation.

I'd recommend a new topic for it, as the prior references are buried in odd topic subjects. You can cite the trello item, asking that it be "bumped" up in priority.

Thanks much, Shal. Maybe it's time for another round of documentation. :)

No.

Following has meaning only when you've selected "Following Only" in the Advanced Preferences of your Subscription to the group. Then it controls which messages are sent to you as Individual or Digest, if you have one of those selected as your Email Delivery. If you have Special Notices Only or No Email delivery that has precedence over Following.

No, Unmute does that. Note that Mute and Unmute are used when you have "All Messages" selected rather than "Following Only" in your Message Selection option.

The links to follow or unfollow a topic are included in your emails only if you have selected "Following Only".

If you read messages in your group's Messages section the Mute and Follow functions have no effect. IMO that's a major bit of unfinished work. At this point I would implement those as filters (the Tools button) in the Messages, Topics and Expanded lists of each group.

As things stand, to see them on the web you have to go to the Groups.io home page (click the logo on the top left) then choose from the buttons in the left column. These combine messages from all of your subscriptions.

Re: Group Moderation Question #groupowner #moderation

The email integration is a non-solution for us. I had previously considered it. That would allow anyone to post to the group, which we don't want in this case. Also, the email integrations have absolutely awful email addresses; many of my members are older and less technically savy, and won't be able to handle the long string of characters in the name. Many of them manually type the email address into the "To" field each time, despite my guidance that they add it to their "Contacts" or "Address Book". It was a lot just to get them to add an additional word and dot after the @ symbol in the address ("What do you mean the address is ? But when I email, it comes from , and that doesn't have two dots? etc. etc.)

I'm looking into the automatic response now, but haven't had a ton of luck so far.

Other ideas? This is quickly pushing my group away from this service as we left our original system for similar concerns with the burden of management.

Re: Group Moderation Question #groupowner #moderation

Just what I was having as a second thought!

Or make all members of the subgroup moderators able to approve messages to it.

Look at the "Settings" button at the left. Click "Integrations" above it. There look for
"Create a receive-only email address that posts to your group."

Re: Group Moderation Question #groupowner #moderation

Jeremy,

If I really wanted this sort of feature, I think I'd investigate
setting up a moderator e-mail address that auto-responded an
approval...
Depending on the software or service you use that might not work:

I don't know if Mark has actually implemented defense against Approval being triggered by an auto responders, but that could prevent the function you intend.

Re: Group Moderation Question #groupowner #moderation

Colin,

Is it possible to configure the system in some way to allow my
members to email this subgroup without being part of the subgroup
itself.
Yay!

Looking further I find that topic was noticed, and the request has made it to the official to-do list:

I thought it had, but when found that Mark didn't comment in the topic I doubted my memory. Should'a looked at trello before posting.

I have a similar situation with the board subgroup to my PTA group. Unit members (members of the primary group) ought to be able to email the board, and just the board, but shouldn't receive other's messages to the board nor messages among the board members.

My solution is the same as yours, but my traffic is low enough that the moderation of messages to the board hasn't really been a burden.

The idea has been mentioned in beta@, but not presented as a feature request in its own topic. If you would like to start such a topic I'll gladly second it.

Or a way to add them to this subgroup so they can email freely,
without them receiving all emails other than their own?
No.

At least, not in an enforceable way. You could set them to no mail, but they'd still be free to peruse the subgroup's messages on site, and could change their email subscription setting at any time.

Group Moderation Question #groupowner #moderation

I have a primary membership group and a subgroup my organization uses for managing membership requests. This management subgroup is managed by a handful of individuals who need to receive these emails. Right now, I've got the membership request subgroup configured to allow non-registered emails to go through with moderation. This allows me to add only the management users to that subgroup while still allowing our other members to email the list. All of the management subgroup people should receive the emails sent to the subgroup (which does occur), and the original sender should get a response (works if we "reply all"), but I don't want all members of the primary group to get these emails.

This does work as configured. However, this has been proving to be quite a large management burden as I have to approve all emails to this subgroup which adds a significant delay. Is it possible to configure the system in some way to allow my members to email this subgroup without being part of the subgroup itself. Or a way to add them to this subgroup so they can email freely, without them receiving all emails other than their own?

I've seen something similar to this on other tools called a "Support Group". Is it possible to configure groups.io to work this way?

I'm a bit stumped. Any help you can provide would be much appreciated.

Re: attachments as links

Sorry, misread it. When I am trying to test it, I realize the difference. Since it is individual user setting, rather than group setting, it wouldn't be as useful to me in making sure that attachments were saved as files.

Frances

Re: attachments as links

Frances,

Does this mean that it is saved in Files? That later we can go to
Files and see the attachment?
If the setting is "Allow" the attachments are saved on site, regardless of any member's attachment size limits. But you access them through the Messages section (in the messages they are attached to), not through the Files feature.

Photos and other image file formats are a special case. In addition to appearing in the messages they came from, they are also shown in a Photo album named "Emailed Photos".

Re: Sample database?

My small group just formed and hasn¡¯t used the database function, but I can imagine the following uses for a database:
?
  • record of dues paid
  • in a collectors¡¯ group, listing what items/models each member has, or an organized way of facilitating swapping
  • event/project planning, identifying tasks, who is assigned to them and what has been done/remains to be done
?

Re: attachments as links

Shal, if the setting is allow but with a lower size limit, and an attachment is too large, you said a link to the file is sent out. Does this mean that it is saved in Files? That later we can go to Files and see the attachment??
Handy!?

Frances

Re: attachments as links

Patti,

Is there a setting that can alter this behavior and make it store the
attachment in the Files section and then the outgoing email would
include a link to the file?
Not on a group-wide basis.

However each member has a control, in the Advanced Preferences section of their Subscription, for the maximum attachment size to deliver to that member. This can be "Unlimited" (the default), zero (meaning no attachments), or one of a selection of intermediate size limits.

If the member is not sent the attachment, he/she is sent a link to it instead.

On a group-wide basis, the group can Allow, Strip, or Bounce attachments.

"Allow" means that the attachment is both passed through to members that receive individual messages, and stored on site for the benefit of those that read the group via its Messages pages (and Digest). There is not a separate "Attachments" section nor are they stored with the Groups files; but each message has links to its attachments.

"Strip" means that the message body is sent through, but the attachment is not, nor is it stored on the site.

"Bounce" means to reject the message altogether.

attachments as links

¿ªÔÆÌåÓý

Hello,

This question relates to sending messages to the group via email. On our Yahoo group, attachments would come across as a hyperlink to a file that got stored on the Yahoo server. In our Groups.io it comes across as an actual attachment on the email (thus large attachments filling up my already too full mailbox on Outlook). ?Is there a setting that can alter this behavior and make it store the attachment in the Files section and then the outgoing email would include a link to the file?

Thanks, Patti
