Yes, Zoom is the default tool. The audience will be high schoolers, many from parts of the US with more limited bandwidth. My client considered having separate?Zoom meetings for each breakout group (probably 14 groups), but is concerned?about the challenges of multiple session links that need to be navigated?over a 4-day program may be confusing and lead to drop-outs.
The value of the tech host is noted. That will be my primary role, ensuring that the Zoom platform is stable for the session and smoothly shepherding 500 people into breakout groups! I plan to ask people to rename themselves, putting their group name/number ahead of their names in Zoom. In my experience, this really helps to rapidly find people and move them into the correct grouping.
Pre-Assigning participants to Breakout Rooms: I have tried to do this for other meetings, but not had any success. I think the issue is that participants need to have an existing Zoom account, and the system will not recognize them if they do not have an account. As we also anticipate that at least some people may log-in using a different email address or Zoom account than the one they used to register for the program - this also complicates things!

Hi Michael, are the smaller sessions different topics and with different hosts? If so, I would schedule each separate topic/host their own Zoom meeting,?that you can communicate through chat or on email invite when participants can pre-choose their sessions. If not, you can get a large group upgrade on meetings up to 500 participants and do everything from the main session. I recommend having a tech person helping out with assigning the people to the right breakouts.
I don't think you can change from webinar to meeting or vice versa while in the session. You can request Zoom support to grant you more breakout rooms with large group subscription.

This doesn't happen. When the facilitator starts the zoom session the breakout rooms need to be recreated from scratch. Furthermore a participant leaves zoom, they need to be reassigned to a breakout room. You will be earning your pay and you may need a couple of assistants.?

Given what you say, I would recommend you seriously consider Qiqochat. Rooms will stay same from one day to the other (that will not happen with breakout rooms ?in one unique Zoom account, at least not like mine) .
It is not difficult to set up, and Lucas can recommend you people who can handle the config and work quickly.?
Than people will have only one link and that¡¯s too simple.

Christine, I knew about Qiqochat and mentioned it to my client yesterday. I'm waiting for some feedback from him and to learn more about his budget.
I have just discussed how we might manage breakout groups in Zoom given what we are learning... we are now thinking that make active use of allowing people to join their own breakout groups (a newer feature in Zoom). We tested it with a laptop (using the Zoom app) as well as on apple phone and ipad (using Zoom apps in both cases), and the participants are able in all cases to move themselves in, out, and between groups - so this is good!
Does anyone know if each participant has to have the latest version of Zoom app on their device to be able to manage themselves in breakout groups? (or is it only the facilitator who needs to have the latest version?)
And does anyone know whether a participant who joins through their browser (not the app) is able to manage themselves through the breakout groups?
The feedback from the group already is very helpful!

Yes, if you want that they be able to move by themselves berween breakout rooms, each of them should have latest zoom version. And i don¡¯t think that it is possible to move oneself from a smartphone

It's recent as late fall that this feature came out. Worse zoom doesn't have a feature that offers to download updates automatically. You will need to recommend they update.
You will also need to provide support for people who get stuck finding the feature in zoom

They can't self assign and need to be moved you.
So self organizing breakout rooms will help. You?will still need to work hard.

Hi Michael,
in terms of break-out groups for large groups - I'd advise you to ask Zoom for the maximum number of break-out groups (which is a 100 when you have a large group add-on for 1000 participants). Otherwise, you might get into trouble when wanting to create smaller break-out groups with 500 participants.?
With such a large group, you absolutely need someone who is very experienced in working with this many participants as a tech host, and you will need tech support people.?
There are different experiences whether participants joining through browser can or cannot join break-out rooms. It is certainly not 100% guaranteed that it would work.?
