Electronic polling for hybrid event


 

Looking for a solution, elegant or duct-tapey, for my semi-synchronous event polling problem.

The?situation: I have multiple countries participating in a hybrid, semi-synchronous event. Each country team will have discussions and watch some recordings together at a time?that works for them, and then we'll all come together, virtually and live, to present and discuss. There may also be?some pre-recorded content shared during this live event. As a whole, participants have a low to moderate comfort level with technology. The event organization has a limited budget for tech licenses.

The challenge: How do we easily direct people toward various poll questions, without asking them to go to a different spot or enter a different code each time? I'm thinking especially of the pre-recorded content, which would need self-paced polling and a code that could be set 1-2 months in advance (to be included in the pre-recording). For live sessions, we could likely simply walk them through something with a facilitator-paced option.

The best I've gotten is to create separate Mentimeter presentations for each session's poll questions, each with its own code, and then sharing the unique code for the question we want them to answer when we want them to answer it. But even this runs into the issue of Mentimeter having a max 14-day validity on their codes.

I've also thought about using a PollEv app in our event's Slack space, but the info will likely get lost in the shuffle of channel messages across timezones, as different countries run through their discussions and recordings asynchronously...

Hi Sarah

One thing that might work is to use the Menti voting link instead - it doesn't need a code, and doesn't expire. You'll find it just below the voting code in the Share window.?

I tend to always use the voting link with groups.

Since you process is asynchronous, why not use a simple instead??

?

Also for the link, I suggest advertising a very simple short URL like yoursite.com/poll2021 and then have the link(s) to surveys from there is big featured buttons or links.

If you were okay with going low-tech, Google Forms would work fine.

Or, you can set up a survey through a form on your website, and collect responses whenever they come in. Then you can brand the experience a little better. it would take a little longer than GForms, which you could do in under 10 minutes, but you're stuck with their branding.?

Just be sure to collect responses in a spreadsheet automatically, so you can review them all in one place.


 

Have you investigated ? Facilitators load questions into a session. The system generates a qr code or link that participants use to enter the session on their phones (no login or password required). Participants can follow along with an on-screen session (like Zoom) and answer the poll q's on their phone.

There's an integration with Zoom but I don't remember exactly how it works. Their intro webinars are pretty good so you can check it out.

Basic accounts are free. More sophisticated paid accounts might include integrations and timing mechanisms.

I think these options would work for people connecting to the meeting on their personal devices, as they could simply click on the link, say, in the chat.? It would be trickier for those connecting to the videoconference from the same room but asked to vote on their personal devices.

I could create a handful of bit.lys (, etc.) to make it easier to type in the Mentimeter, GForms, or other links, but some participants aren't very adept at typing on a smartphone, and some may have issues getting to shortened urls due to random things installed on their phones.? I could create a landing page with all the links, but I'm not sure participants will feel comfortable navigating to the right link for the right session. I'd ideally give them the exact poll they need at the exact time they need it, one by one, through a simple interface.

Mira, I like the Slido QR option... If it can work while people are sitting, socially distanced, and holding their phones up to the projected image... And Slido's event-based subscription might work for us.
