Oh boy... again! I have the same problem with a lot of clients. I usually ask them these questions
1- Can you easily allow participants to share screens : usual answer hmm..yes...but we have to allwo persmission first and IT does not want this and we need their permission...red tape.. 2- Can you easily form breakout rooms...usual answer sure but... 3- Can we easily use poll....usual answer...yes but 4- Security issues ? Ah yes...have you heard about the latests Zoom updates about this...Usual IT answer ...updates? Huh? 5- Better audio and video quality, green screen capabilities, sharing document, chat etc. etc.. But what usually breaks them is the fact that I can deliver a much better performance on Zoom and increase the impact of the session. Nancy's document is awesome!!!! -- Francois Lavallee , M.Sc. Collaborative poll creation w/Slack app?
I thought I found the answer in PollEverywhere, but then I got stuck again. Hoping that your brilliance and experience will help my stuck-itude. I am looking for a polling app that allows multiple collaborators (~10) to?create?and manage a set of polls and access [centralized] results - without having to buy a separate and expensive license for each collaborator. I don't want to be the bottleneck for creating, launching, and monitoring polls during our hybrid/sync+async event. Other criteria for the polling app that I can find in other polling apps, but without?sufficient collaboration options:

Hi Michael, in terms of break-out groups for large groups - I'd advise you to ask Zoom for the maximum number of break-out groups (which is a 100 when you have a large group add-on for 1000 participants). Otherwise, you might get into trouble when wanting to create smaller break-out groups with 500 participants.? With such a large group, you absolutely need someone who is very experienced in working with this many participants as a tech host, and you will need tech support people.? There are different experiences whether participants joining through browser can or cannot join break-out rooms. It is certainly not 100% guaranteed that it would work.? Greetings, Michaela? It's recent as late fall that this feature came out. Worse zoom doesn't have a feature that offers to download updates automatically. You will need to recommend they update. You will also need to provide support for people who get stuck finding the feature in zoom
They can't self assign and need to be moved you. So self organizing breakout rooms will help. You?will still need to work hard. Cheers Mark

Thanks Mark, this is helpful information (and what was a concern for me!). I'm glad I surfaced my assumption so that it could get debunked. Christine, I knew about Qiqochat and mentioned it to my client yesterday. I'm waiting for some feedback from him and to learn more about his budget. I have just discussed how we might manage breakout groups in Zoom given what we are learning... we are now thinking that make active use of allowing people to join their own breakout groups (a newer feature in Zoom). We tested it with a laptop (using the Zoom app) as well as on apple phone and ipad (using Zoom apps in both cases), and the participants are able in all cases to move themselves in, out, and between groups - so this is good! Does anyone know if each participant has to have the latest version of Zoom app on their device to be able to manage themselves in breakout groups? (or is it only the facilitator who needs to have the latest version?) And does anyone know whether a participant who joins through their browser (not the app) is able to manage themselves through the breakout groups? The feedback from the group already is very helpful! ¿ªÔÆÌåÓýHi MichaelGiven what you say, I would recommend you seriously consider Qiqochat. Rooms will stay same from one day to the other (that will not happen with breakout rooms ?in one unique Zoom account, at least not like mine) .
It is not difficult to set up, and Lucas can recommend you people who can handle the config and work quickly.?
Than people will have only one link and that¡¯s too simple.

This doesn't happen. When the facilitator starts the zoom session the breakout rooms need to be recreated from scratch. Furthermore a participant leaves zoom, they need to be reassigned to a breakout room. You will be earning your pay and you may need a couple of assistants.? Cheers Mark |

Thanks Phil and Annemarie for these responses. Yes, Zoom is the default tool. The audience will be high schoolers, many from parts of the US with more limited bandwidth. My client considered having separate?Zoom meetings for each breakout group (probably 14 groups), but is concerned?about the challenges of multiple session links that need to be navigated?over a 4-day program may be confusing and lead to drop-outs. The value of the tech host is noted. That will be my primary role, ensuring that the Zoom platform is stable for the session and smoothly shepherding 500 people into breakout groups! I plan to ask people to rename themselves, putting their group name/number ahead of their names in Zoom. In my experience, this really helps to rapidly find people and move them into the correct grouping. Pre-Assigning participants to Breakout Rooms: I have tried to do this for other meetings, but not had any success. I think the issue is that participants need to have an existing Zoom account, and the system will not recognize them if they do not have an account. As we also anticipate that at least some people may log-in using a different email address or Zoom account than the one they used to register for the program - this also complicates things! Re-Using?Breakout Groups over multiple sessions - same login My assumption is that once I have created the breakout groups on the first day, they will remain constant for the remaining 3 days (using the same login). In other words, as long as I do not re-set the groups (changing the number of groups), when I select the Breakout Groups icon, it will default to the previous setup, with participants re-matched to their original groups. (And yes, there will be some who need to be re-assigned/re-matched) Does anyone have experience with re-using the Breakout format to be able to confirm my assumption? I don't think you can change from webinar to meeting or vice versa while in the session. You can request Zoom support to grant you more breakout rooms with large group subscription. Annemarie Steen |

Alternatively, you could host and deliver the entire event via Airmeet for about $349 (for 500 participants).?
I did a test recently, and it works really great with breakout rooms/sessions and networking (virtual) tables, chat, and even a "invite a participant on stage" feature. You would have the main stage and then specific sessions people can join with the same login/registration.

Moving from Zoom Webinar to Zoom Meeting - in the same session?
Hello colleagues I have just taken on a small assignment supporting a client with an upcoming multi-day program for 500 youth from across the US. Each of the 4 days begins with a plenary Zoom session before participants move into breakout groups for work in parallel tracks. I looked at Qiqochat?as an option for hosting the program, but my client is concerned there may not be enough time to prepare the platform appropriately (including briefing the various session presenters). And budget might be an issue... the client was considering to host the program as a Zoom Webinar (for plenary sessions, which will largely have keynote addresses and briefings) and then switch the format to a Zoom Meeting (to enable breakout group functionality) I had not heard of this before, and I wondered if it is even possible! says that you can convert the format of a schedule session )moving from Webinar to Meeting and vice versa), and that you will maintain the same session login. But it is not explicit about being able to do this during the session... Does anyone have experience of this? Or - if it is possible, is it too risky to carry out with such a large group, given the challenge of re-convening such a large group if the connection gets broken? Any insights will be helpful! Best way to demo/explain Qiqo to a small group of facilitators?
Hi Lucas, I am part of a small cadre of facilitators?who occasionally meet to exchange ideas about tools we have used and recommend. Each of us will have maybe?10 min on a call later this week. What would be the best way of explaining/navigating through Qiqo with this group? E.g. would it be to link to a live demo you have online, or some other way? ( I could send a link to a video, if needed, but then people could view on their own time, which would be okay, too.) BTW - I attended one of your live demos that was recorded a few months ago.
