Help with a large scale event?

Hi all,

I am one of the co-chairs for the American Association of Sexuality Educators, Counselors, and Therapists (AASECT)'s Annual Conference next year. We will hold it remotely in June and are looking for proposals for support in putting on an event unlike what any of us have done before. Many of us are very skilled at facilitating in person and have very clear ideas about what we want out of a digital experience - we just aren't 100% certain about how to get there. The planning team is hoping to get a few proposals from experts in online facilitation that brings together human connection, learning, excitement, etc. for groups of 500 - 1000 (which is where our attendance usually falls). If you are someone like that, and you'd be interested in putting together a proposal, will you please reach out to me??

Thanks!
Karen

Hello!
A training company that I work with needs an experience virtual trainer who has experience in Pharma sales. ?The company needs a couple days training in DEC - if you are interested or know someone who is, please reach out to me and I'll make the introductions.

I have worked with this company for 8 years and would give them a FIVE STAR PLUS rating.

Thanks,

Elana

Mike can you explain the interactions that you are trying to facilitate?

I second Catherine Borgman-Arboleda's suggestion of a Google Doc over chat although chat has advantages in certain situations (e.g. show me immediately the most recent note / thought).?

?

Two questions:

1. If I am in a breakout room listening to the conversation and contributing to the note taking (or curation of notes) in a Google Doc when do I look at the other Google Doc (or other chat streams) and why.

2. Are you trying to create observation points (portholes) to look at the entire set of interactions or for a group leader to loosely monitor the interactions taking place in the breakouts?

?

This looks like a "scatter-gather" where you are enabling a rich variety of conversations around a pre-planned set of topics. Your quesitons are focused on the "scatter"? piece -- getting the word out or the context for the distributed group conversations.

What are your needs on the "gather" side - how do you plan to bring back the results of the group conversations into to 2-4 tiers of summary conversations so that subgroups, leadership team, and the full set of employees can make sense of it?

Hi Sara,

I've done it with participants from a government organization where they couldn't install Zoom (and they were all over the world), so they had to access via the web browser. All major activities happened without a hitch (breakout rooms, background, renaming, chat, etc.). They didn't had to share anything nor they were assigned co-hosts roles, so in that regard I couldn't say, but as participants they were quite pleased.

Hope this helps!

Anyone can create this option for their participants by taking a Zoom meeting link like this: ?pwd=UVZyMXBQelhrRVZnTENpR0I3TDBsZz09

When you mean joining by web browser, do you mean by clicking zoom link directly from email or website with zoom link ??

Or put the zoom link on the web browser?

If all of the above, I have done it several times and had no issues.

If the person is signing from a phone Or tablet, yes they¡¯ll only see the person who is speaking. They¡¯ll need to swipe to see the gallery view.

Will you start with a webinar that broadcasts to 4000 people and then everyone moves into 250 pre-assigned, separate team video meetings?? From there, the 250 team leaders will use about 5 breakout rooms inside each of those 250 meetings?? Or is it some other configuration?

Hi Mike,

There might be a more elegant solution, but just giving each group a link to the google doc or slides works well..if you want them then to work on individual pieces just have each section labeled with group one, two etc. the. They just click in the link and someone shares their screen into the breakouts...

Hi - I wonder if anyone can help? ?I'm designing a meeting process in which team leaders will send their teams into breakout rooms. ?There will be approx 5 breakout rooms per team and in each break out I want the smaller groups to be able to see shared content - at the moment this is likely to be one PPT slide that includes imagery and questions. ?The content for each of the breakouts will be different. ?

At the moment I'm thinking of giving the team leader instructions to post the different content in chat so that the different subgroups can download their image and questions before they go into break out rooms. ?This means everyone in the break out will have the content on their screens while they meet.

But is there another way of organizing for the content to be in the break out rooms so that the attendees can arrive in the breakouts and immediately see their content via a pre-loaded whiteboard or some other such device? ?Has anybody done anything like this? ?We're organizing this across 4,000 employees so there will be some 250 teams involved and I'd like to make the process as simple as possible for the team leaders. ?Many thanks in anticipation if anyone has any good ideas....

Hi Pete,

Blended workshops can be difficult, but in some cases (e.g. regions with limited internet access), you have to work with what you have!

Having a person in the room designated to be? your eyes and ears is helpful - reading body language for comprehension, seeing if people have questions, if energy is lagging and a break is needed, etc. You can have video running the whole time, and have a separate call as needed with the client if you need to switch things up, or just to check in throughout the workshop.

If it is important to connect individuals between rooms/countries, having a separate video call line(s) set up in the room for people to have groups/pairs between rooms might work (especially if the main large video call is projected through the entire room). You could do multiple, short, breakouts between rooms, rotating group members, so that there are connections made between countries. These breakouts could be for warmups/introductions, or ideation/interviewing.

Re: Zoom join from web browser #technology #facilitation

Hello Sara,?

For Zoom in the browser (Zoom calls it the "web client") we have found that users on Safari and Internet Explorer (and some versions of Firefox) cannot use computer audio and must call in by phone.? For example, I attached a screenshot of what I see if I try to use Zoom in the browser through Safari.? Here is some ?about the limitations that you would want to?read before using this with a paying?client.

For others who might be wondering, opening Zoom in the?browser (the?"web client") is different than just opening Zoom?with the browser.? There are different links for each option.

Anyone can create this option for their participants by taking a Zoom meeting link like this: ?pwd=UVZyMXBQelhrRVZnTENpR0I3TDBsZz09
and transforming it like this: ?pwd=UVZyMXBQelhrRVZnTENpR0I3TDBsZz09

Please feel free to test out the Zoom meeting links generated by Qiqo (above) at any time and in any browser.

Hi Sara

Good to see you. How are you?

When you mean joining by web browser, do you mean by clicking zoom link directly from email or website with zoom link ??

Or put the zoom link on the web browser?

If all of the above, I have done it several times and had no issues.

If the person is signing from a phone Or tablet, yes they¡¯ll only see the person who is speaking. They¡¯ll need to swipe to see the gallery view.

Hi there! Does anyone know what the limitations are for joining from Web browser of Zoom?

I run a teamsession last Friday for a team of 8, some joined by web browser and mentioned that they can only see one speaker at the time.

As I will be running another session on Mondayfor a small team of 5? again I wonder:

- shall I spotlight all to make sure all participants are visible?

- are there any other limitations I should be aware of for the participants joining by web browser?

Many thanks in return for sharing your insights!

Hi Mike,
There might be a more elegant solution, but just giving each group a link to the google doc or slides works well..if you want them then to work on individual pieces just have each section labeled with group one, two etc. the. They just click in the link and someone shares their screen into the breakouts...

I agree John - being together in a room can offer a bridge for collaboration but having everyone logged in individual increases the diversity of inclusion and engagement, especially if there are interactive elements such as annotation or polls

Hope that's helpful
