free group question
Hi! I am asking this for a friend. She has a free group and marked when it gets
close to the limit of attachments or memory for the earlier ones to be removed. It says she is out of space. So when or how does the earlier attachments get removed? Does she have to notify Mark or someone here to do that? Thanks Anita |

At that time, enough attachments will be deleted to get her back to 95% of quota, if possible.? This setting applies only to attachments. Hi - Let me see if I understand this correctly.? In a free group if an item is sent as an attachment and the storage space is approaching max of 1 Gig then those oldest attachments would be eliminated automatically after notification to the owner in order to free up space for newer ones.? However, if a photo is sent in the body of an email then it would take up the space but could not be eliminated except by the owner going and finding it and deleting that email???
I am finding that most people using their phones to upload have photos in the bodies of emails and not in separate attachments.? People using computers usually do it the other way.? This is not a pressing issue for my new free groups I just want to make sure that I understand so that I can figure out how to address it when it occurs.? My group shares a lot of photos especially now in this pandemic.? I have already notified everyone in the group that any photos anyone wants kept need to be downloaded to their own devices.? It's entirely possible to have someone to photo-bomb your group and put it over quota before the job runs. If you group is Premium or legacy Basic (started pre-August 24), other items could also be taking up storage space, including Files that you may have uploaded and Photos that appear in albums. Such items have to be deleted manually. It's not uncommon for a single print-quality image to exceed 5 MB in size. For this reason it's a?really good idea?to set up your group to rescale photos before allowing them to post. Our group looked across many of the storage sites on the web.? Some had too many pop-up-ads, others required a user login, and then others had very limited space for the FREE use.? Then there were others with the footnote of deleting anything not accessed in XX days.? Some sites even mentioned your images and documents were no longer fully private and the info could be used by their 3rd parties. After all was researched out, BOX Storage with the ease of use, not needing to login, ample of FREE account space, ability to have sub-folders to organize, share files or folders via permissions (also allows not to share should you need private or items in DRAFT editing state), no time limits on access, etc.? won out in the process. IF your group is a newer BASIC plan, I would suggest making a message post SPECIAL out to the group with the links and details.? Then PINNING this message to the top of the message TOPICS list here on the site.? It's sort of like having the WIKI with the links, but as a pinned message at the top.? Serves the same effect really. :) IF you have an older BASIC plan, then a WIKI page with links and descriptions can be created.? Hope this helps you and others.
