Tracking Pending Member and Welcome Messages


 

Is there any way to see if a Pending New Member message or a Welcome message has actually been sent to members asking to join a group?? My group is supposed to send a prospective member a message asking them to confirm their intent to join the group but I don;t see a way to know if they actually do get sent.

Maybe.

If the Pending or Welcome message is listed in the (pending) member's Email Delivery History as the most recent Successful or Unsuccessful then you know its fate. But a subsequent message could supersede it there,

Too, I discovered recently, it can take a while (between 1 and 24 hours, in the case I noticed) for the Pending notice to show up as Most Recent Successful Delivery. I don't know if that's just an updating issue in Groups.io or if it relates to some kind of time-out for delayed rejection by an email service.

And I would say, "maybe not". A current pending member, who has received both the confirmation email and pending member notice, shows "no email deliveries" in their email delivery history, right now, in my group.

Furthermore, after being admitted and also receiving the welcome message, it still shows "no email deliveries."

In fact, I can pretty much confirm at this point that none of them are logged in the member's email deliveries - not the pending subscription notice, nor the confirm notice, nor the welcome message. You have to just assume they were sent.

It looks like it must vary for some reason.? There's a pending member on one group that has this in the Email Delivery History:

Wow, thanks Duane, that is VERY weird. Maybe what this actually confirms is that the pending notices go missing in my group. However, every time Mark has looked into this, he's said the messages are logged on HIS end as having been successfully sent. I need to email him at support again about this.

FWIW, I've noticed that my pending messages up to March 1 are shown as delivered in the individual Email Delivery History. After that date, new pending members do not have that shown on their Email Delivery History. However, one of them has responded to the pending message, so obviously they've received it.

I currently have two pending members, neither of which shows any email delivery history. I know that one of them received the pending member notice, because they responded to it. I have no idea about the second one and am going through what has become the normal process of debating what to do about it - contact them outside the system? resend the notice again? contact Mark? etc. These messages have been going missing in my group for YEARS and it is getting old. I welcome the influx of new members to GMF and beta because of all of you who are in agreement with me that there needs to be a web-based text box or questionnaire. I keep pushing Mark on this..

I have had a similar issue of missing pending members.? On one list I am owner/moderator, no one else to blame.? I went to the activity log and found that the pending member had unsubscribed from the list a few minutes after joining and after the welcome letter was sent.? AS a result they were not in the membership database.? I wonder if this is similar to the SPAM unsubscriptions; different in this case since they were never accepted as members before they left the list.

I'm not missing pending members. This conversation is unrelated to "removed due to marking a message as spam" (although that may be happening in your case - your can find out because these events are clearly marked as such in the logs). This is about keeping track of, and/or losing, the notices and emails that go out to pending and new members. Not losing the members themselves.

delivery history.
One problem may be that the fields in the Email Delivery History are not what I'd call a log - they show at most the one most recent result. I suspect that just about any activity by that email address, even in other groups, might supersede the "most recent" perhaps leaving it blank.

The other issue is one of delay: success is not recorded promptly. The example Duane & I cited was blank initially, but showed up in something less than 24 hours. I'm not sure how much less because I wasn't looking frequently. And Lily's observation implies the delay could be much longer.

I'm not sure exactly what to suggest if you contact him. But it really feels like moderators need some way of reliably obtaining some indication of the message's status.

Maybe the Email Delivery History needs a section for "pending" deliveries - those that haven't yet succeeded or failed. Because some email services do routinely defer the first delivery attempt, forcing the sender to retry ("greylisting").

I know that one of them received the pending member
notice, because they responded to it.
Cases like that can't be explained by delay. And it seems unlikely that so many are cases of the history being superseded by other activity. So, quite apart from any actual delivery issues there may be, maybe there is an problem with how the Email Delivery History information gets updated.

Yes, of course. But they are blank even when the pending subscription and confirmation emails were the ONLY things that were (conceivably) sent. Perhaps the problem is that the confirmation email is not considered a delivered email. However, in my recent testing I've discovered that in some cases, the pending subscription notice is not sent until after the member confirms. So I know that in these cases, when the member has responded to the pending member notice (and therefore has received it), and NOTHING shows in the email delivery history, that NEITHER the confirmation email nor the pending subscription notice is - I'm trying not to say logged because yes, yes, I know it's not a log - neither is considered an email delivery or recorded on the page as such.

I think the need for either a textbox or a web-questionnaire is *extremely* pressing. ?Given the problematic conditions around the pending subscription notice that have existed ever since its inception. I think that's the only thing that will satisfactorily do the job.
