Re: Dumb Question of day -- How do I direct people to join my new group?

Arno,

In our 'get together' group there is one member who only sends one on
one eMail He never did join the Yahoo group befote.

Is there a way to add him on so that messages to him do not have to be
CC'ed any longer?
I'd try J's suggestion 1 first - send him an invite.

He may have been daunted by Yahoo Groups' rigamarole for joining, especially if he tried to get a Yahoo Account so as to access the group's web resources. With Groups.io this is so much more streamlined that he might succeed. You could mention in the invitation text just how easy it is. Including simply replying to the invitation if all he wants is to read and post by email.

Or as Bruce and J said, you can upgrade your group to Premium in order to do a Direct Add of his address. Fortunately you don't have to make more than a one month commitment if you decide to go this route. Click on your Group's Upgrade page, then on the "View/Change Plan" button over to the right.

In the list of plans there is "Group Transfer (Premium For One Month)". That option is there to support transfers from lists on platforms other than Yahoo Groups or Google Groups, which have no automatic transfer support. But I've found that is also very handy and cost-saving for groups like PTA groups who tend to collect the majority of their members at a single yearly event (school registration).

But I think it can also work out well for groups in the aftermath of a transfer from Yahoo, who have a bunch of addresses that didn't get copied, or due to renewed outreach have collected a bunch of addresses from people who are just now taking an interest in the group.

Is there a way for subscribers to mute or otherwise suppress the display of selected topics or hashtag posts in the group page message listing?

Re: Groups.io site updates - transfer progress for prior requests?

Harlan,

Is this 'track the progress of transfers' available ONLY to new
transfers
I don't know, but I suspect "yes".

... or in my case--I requested the transfer of my group on the
20th--can I check the progress of my transfer? If so, where do I go
to CHECK the progress.
If you click on the "Easy Group Transfer" link at the bottom of any page, then click on Yahoo Group Instructions that should bring up the new instructions.

Scroll to the very bottom and on the left is a green button to Start New Transfer. On the right is an "In Process" box with a drop-list of your "in process" groups. Select one of those to see its status.

The thing is, this form and that In Process list are tied to your current log in at Groups.io. Whereas the old process, up to the moment you sent in the "Go" email was not. So the question is whether Mark was able to take all those outstanding Go requests and add them to this mechanism.

I don't know, but if you have a look perhaps you'll be able to give us an answer, at least for your case.

FWIW, the status isn't particularly exciting. If you haven't clicked Go it says so, and offers the opportunity to update your request as well as the Go button. If you have clicked "Go" it says that you have, and your request options are disabled (can no longer be updated). It does not show the one thing I'd like to see - either an ETA or a raw count of groups ahead of me in line.

Re: how to recover attachments from YG

Only in a round about way.? You'd have to copy the attachments to your group files or photos section, as appropriate.? Then you could edit the messages to include a link to the new location.? It wouldn't strictly be an attachment, but should serve the same purpose.

Re: Q: posts during the transfer/welcome message/size to save attachments?

Mindy,

1) I haven't seen any discussion of this, so perhaps it's not an
issue, but I was wondering: What happens to the posts on our YG group
while waiting for the transfer and/or while the transfer is happening?
Some of those messages will post before the copy reaches that point in the Y!Group's conversations; those will get copied. Those that post after won't.

Is there a way to add on the messages after, if some do get left out?
Not automatically. I believe you'd have to post them to the Groups.io group manually.

2) As an aside, does the "welcome to groups.io" message go out to the
group immediately once the transfer is done or do we mods get some
advance notice - so we can alert the membership? (Of course we will be
letting them know beforehand, but people seem to have short memories).
Nothing happens at the point where you click the "Go" button (or previously, sent the Go message). When the copy completes (which currently may be several days later) the system optionally sends two emails:

1) "You have been added to GroupEmailAddresss". This message is sent if you don't uncheck the "Send a message to your members when the transfer is complete" box on the transfer form.

2) The active Welcome notice from your group's Member Notices page. Before clicking Go I made a second Welcome notice, tailored specifically for the members who would be copied in, and made that one Active. Afterwards I made the normal Welcome notice active once more.

3) Attachments are not so important on our group although we'd like to
keep them in the archives. What is a good size setting to use? The
smallest (150x150)? Will that be readable?
Those sizes are for photos, not documents. So "readable" will depend on what the content of those photos is. That small is fine for a person's head shot, but probably wouldn't be adequate to show fine detail in a scene or a project.

Also what setting option in Default Sub Settings > Max attachment size
to use?
You know your membership best, but I'd use "Unlimited" because most of my members would likely be using desktop computers with a decent internet connection. If most of your members are likely to be using metered or limited connectivity you might want to set it small or even zero.

As well, will this impact just how the message is saved in the
archives, or also how it goes out to the group?
The Max Attachment Size under Default Sub Settings is a default for individual members. It has no impact on the Messages archive or the group as a whole.

The Max Size in Email in the Photos section of the group's Settings page affects both how the photos are stored and how they are distributed out to the group in email.

how to recover attachments from YG

I have moved a YGroup to Groups.io but, of course, the attachments were not transferred.? Is it possible to copy the attachments over to Groups.io and re-establish the connection with the email they are attached to?? If yes, what is an efficient way to do this?? (My searching through messages and help mechanisms hasn't provided an answer. Maybe it's there, but I didn't find it.)

Thanks.

>> What happens to the posts on our YG group while waiting for the transfer and/or while the
>> transfer is happening (which seems to take a few days, based on a recent post)?

Nothing happens to the messages other than being read by the transfer agent. Also, the delay in transfer is because so many requests are in queue waiting to occur, not because it takes several days to do one transfer.

>> does the "welcome to groups.io" message go out to the group immediately...

Yes, it does. I would have preferred the option to defer it, but that functionality does not currently exist to my knowledge.

>> Attachments are not so important on our group although we'd like to keep them in the archives.

I don't fully understand this question but will mention two configuration options that may bear on it.

The "best size" for you depends on how many are sent and at what point you want to run out of space (1 GB total in the free version). There is an option to delete old attachments as news ones are added, which is what we set on our groups. This is generally preferable to the alternative -- that the group will refuse to accept further attachments or uploads until you go in and delete some manually.

There is also a setting to limit the size of attachments that will go out in group emails. This is limited mainly to the largest size that you feel every member's email server will accept before they bounce the message back for being too large. If you set that to...say...4MB, anything larger than that will still be stored on the server; but the emails that go out will contain a link to the document on the server instead of a copy of the document itself.?

I hope that made sense.

Bruce

When my YG was active I would periodically review the Membership List, and anyone that had selected No Email was changed to Special Notice. I was glad to see Groups.io gave the owner the option, in whether No Email was allowed or not.

Like you, Al, our migration and the inability to adequately notify people about it has left a bad taste in my mouth for Yahoo's "no email" option. I don't plan to abuse the "special notices" privilege but we have chosen to eliminate "no email" from our groups.io sites for exactly the same reason.

Judy -- One of the biggest pitfalls we encountered were Yahoo group members who were set to "no email." We had a difficult time notifying them of the migration, and despite our best efforts some of them were blind-sided. Since there's no reliable way to contact them via the Yahoo group, you may have to capture their email address and send them a note manually. To mitigate this, I wanted to put up a new banner (i.e.: "cover image") that notifies anyone visiting the Yahoo group of our move, giving the new groups.io URL. Yahoo has repeatedly frustrated my efforts to do this.

You can also plan to have a number of members start to bounce emails after the transfer completes, due either to dead email addresses among your Yahoo records or recipient mail servers that for some reason think mail coming from groups.io as spam. The latter can be a particular problem as some will be automatically unsubbed from the group and have to be re-added. Anyone who had to "white list" Yahoo to get their group mail will likely have to do so with groups.io as well. Hotmail in particular seems troublesome in this regard.

That said, this can also be useful to eliminate some of the deadwood users that seem to accumulate over time.

In our two migrations, members, files and messages seemed to transfer well. Photos are more troublesome and you can expect to lose a third to a half of them...for no other reason than the Yahoo servers are balky. Be advised the files attachments to messages -- photos or otherwise -- are NOT migrated. This includes any photos appearing in the "Photostream."

Finally, be advised that many groups are abandoning Yahoo right now and it may take awhile (a week or more) for the transfer agent to get around to you. The inability to provide a firm date to your members as to when the migration will actually take place can also be mildly frustrating.

That's my experience. Hope this helps!

Bruce

Go to Admin->Settings and click the "download archives" button. However, this will only give you all the messages. I know of no way to do the same thing with files, folders and the rest...but I suspect it's been suggested in the beta group.
