are there specific file formats that are not allowed?
Not that I know of.

We tried to upload a recording from an iphoneof a business meeting to
a folder in our files section. It would not upload.
The file upload process has been known to choke on individual files that are too large, or a collection of files that are too large. This is a relatively small limit (perhaps 10 to 100 MB) even when ample space remains in the group's storage limit.

Audio and video files can be quite large, depending on the encoding used and duration.

Select Admin>Members from the left-side menu bar. This will bring up your group's members list. There is a blue pull-down menu at top left (looks like a button). Select Pending Approval using this pull-down (if not already selected). If any members are actually in Pending status, they will be listed here. Anyone you find under Members is already subscribed, select Moderators to list Moderators/Owners, etc.

A person can be already subscribed but not have their account confirmed. If that's the case, they will have a blue NC badge next to their Display Name. See the GMF wiki page at?/g/GroupManagersForum/wiki/Status-Badges-in-the-Members-List?for an excruciatingly detailed explanation of this.

Thanks so much for the tips so far. On my invitation page all I ever see is if the invite is "sent" or "accepted". On my members page only the date the person "applied" to be in the forum. We hold classes each month and at the end of that time the "classroom" is cleaned out so that's why people have to receive a new invitation each month. The only reason I know if a particular member is pending is when I get an e-mail from groups.io telling me as much (that's when I was approving them) or seeing it under "activity". But once I did approve these people, I thought they were fine. Except they really aren't approved. The only time I know there is a problem is when they are e-mailing me and telling me they are still pending. Nowhere can I find a list of members who are "approved" or "pending" next to their name/invite. Does that make sense?

If you're using the Restricted method of Spam Control (and that method only), those you have invited do not have to have their subscription approved. They go immediately into your member list, bypassing the Pending stage. As you have astutely noted, you have already invited them, so there's no reason why you shouldn't accept them.

However, if this is a new groups.io account, under certain circumstances their account will still need to be confirmed. This demonstrates that the person actually owns the email address provided and wants to receive groups.io emails.?If you're seeing people in your members list with an NC status badge (and not the Pending queue), that's what's happening. You can resend the confirmation email if necessary by clicking the button at the bottom of their user record.

2. Though I am approving the potential member right away, the ¡°approval¡± apparently isn¡¯t actually happening. When these members try to join the forum they are told they are still "pending approval".
Those who click on the "Join This Group" button on the group home page (or send a +subscribe message to the group address) are not accepting your invitation. To avoid being placed in Pending, they must respond to the invitation email.

3. When I attempt to "approve" them again, it doesn't matter. Nor will it just let me re-invite them because they are already in the system to be "approved". This requires me to "reject" the pending member and start the whole process again.?
If they're already in the member list as "approved," why are you trying to re-invite them? You might have to send us a screenshot for this one.

1. I think it is odd about having to approve members you invite. I wonder if they are using a different email address than the one you used for the invitation. Or if they aren't accepting the invitation. Of course, they do have to have their first posts moderated. See Spam Control in this page of the wiki.?/g/GroupManagersForum/wiki/Quick-Start-for-Group-Formation

2. Check out the Activity tabs in Admin.

3. Not sure about this. If they are approved, they shouldn't be require re-approving. Check out Members in Admin. If it says NuM, it means New User Moderated. See #1 Spam Control.

I had something similar happen to me today.
I had someone who I approved membership for write to me on the Welcome email they get when it says they joined the group asking me why it says they are still?pending membership. Their membership shows up on my membership list as a member and they got the welcome letter. ?

Tim, I don't believe there is anyway to do it in advance. However, you can set a thread to moderate. Go to the message, click on the down arrow beside the author's name and date. Click on Moderate Topic. You can also Lock Topic. But likely it is moderate you want.

Filtering Messages #howto

 

Is there any way to filter messages sent to a group so that if the subject or body contains a certain phrase or name that topic can be automatically moderated?

We have a group that we would prefer that certain topics or companies products NOT be discussed. We would rather not have all messages moderated since it creates a lot of work for the group's moderators.

I just did some testing, and the answer is no.

The renewed subscription does reconnect to old content, including files, photos and messages. However, any group profile is lost during the remove/resub cycle, replaced with the generic account profile found at?/account?page=profile&member_info_id=0

As has previously been discussed in this thread, there is currently no provision in groups.io to suspend someone's subscription. The person's account is a separate thing entirely.

Some have been members since 2005 -- do you know if removal changes their "start date" to their reinstatement date?
The start date in their member record is indeed updated to the date of reinstatement.

Correct. When you use Reply to Sender the reply goes only to that person's email address, it does not get posted among the group's Messages.

Should I get a confirmation email?

Only if you checked the BCC Me box. Or if that person replies back to you.

Failed - 550 5.5.0 Requested action not taken: mailbox unavailable.

What Ken said - this error normally means that the address doesn't exist.

If these are being entered manually from a handwritten sign-up sheet, in addition to the usual typo suspects (i vs l, o vs 0) if you entered them with the <user@...> brackets, watch out for leading or trailing spaces in between angle brackets and the email address itself.

Given that this is happening, if I decide to pay for the month just to be able to manually add the addresses myself as the group owner, would getting around the invitation problem likely protect me from regular message delivery problem, or is this the sign of annoyingly bad things to come, even if the members were somehow subscribed?? :)

If those addresses are in fact bad they would immediately go on Bouncing status. That's not too annoying or bad for you, but it does mean that the intended recipient won't receive any group messages.
In my PTA group I usually do pay for Premium for a month surrounding our major membership drives (registration, back to school night, open house). That's primarily for my own convenience in not having to track down people who don't respond to their invitations. But that's different than ones that got an error response to the invite. The latter generally have to be checked for typos or tracked down for correction.


Our group isn't necessarily the most tech savvy bunch, but I'm going to see whether these two members are able to go to the website themselves and apply to join the group and see what happens. Maybe initiated on their end will also circumvent the problem.

That can work also, but if they don't enter their own email address correctly then they won't get any confirmation email back from and you will see them as a (pending) member with the NC badge (Not Confirmed). So that can be frustrating too, as it also means that the person does not receive any group messages. Seeing them as NC might also mean that they didn't respond to the confirmation email, even though their address was correct.
In both cases (bouncing and NC) you can click a button in their membership page to have Groups.io send a corrective message to their address. But if the address itself is bad that won't do any good.

I'm new to the forums. When I reply to someones message, how do I know it was sent? I don't see it on the thread with the other messages. Is that because I pressed "reply to sender" and not "reply to group?" Should I get a confirmation email?

Have you tested the email addresses directly from an email client? Meaning
not group.io, but a normal account somewhere. Usually when I see a 550,
there is a wrong char in the address somewhere.

It's a new fall term, and we've got new members, so we've sent out a handful of new invitations. The mail.com and gmail.com all worked fine, but we have exactly two new members with hotmail addresses, and both of those are reported as Failed 550.? (e.g. Failed - 550 5.5.0 Requested action not taken: mailbox unavailable. [DB5EUR03FT029.eop-EUR03.prod.protection.outlook.com])

Since we have exactly two, that's not enough to necessarily establish a pattern. It could be coincidence that they're both hotmail addresses, or it could not.

1. Is anyone else having trouble with hotmail addresses? And, these failures are *immediate* so it's something quite at their source.

2. Given that this is happening, if I decide to pay for the month just to be able to manually add the addresses myself as the group owner, would getting around the invitation problem likely protect me from regular message delivery problem, or is this the sign of annoyingly bad things to come, even if the members were somehow subscribed?? :)
