I had read the wiki page before "setting pen to paper" earlier on but with #guidelines being one of the "system" hashtags not specifically listed the full implication of what I was reading didn't sink in. The general Groups.io help page, er, doesn't...

Thanks for taking the time to send your message above; it is helpful as it has cleared up something that has been bugging me since it was raised with me by our group owner; he isn't in GMF or beta and relies on me as a conduit.

Chris -- Most are associated with notifications of some kind, but not always.

Here are a few of the system hashtags that I'm aware of.?

#guidelines -- added to the corresponding Member Notice
#poll -- automatically added to any poll notifications
#chat -- automatically added to any chat notifications
#email -- automatically added to emails that come into your group via the email integration
#cal-event, #cal-notice, #cal-reminder -- added to notifications that go out when you set up, when it happens, and to remind of upcoming calendar events (respectively)

There could be others associated with integrations/features that I don't use (hint hint).?

If these hashtags don't exist, they are created with default settings the first time a notification is generated that requires that hashtag. They can subsequently be edited and customized (with various delivery options and such), just like a hashtag you created manually, via the Hashtags menu item on the left-side menu bar.?

The existing wiki page at?/g/GroupManagersForum/wiki/Creating-Hashtags?says that these system hashtags are "reserved"...which is not at all true. Once created, there is nothing to keep someone for using them for other purposes. This is the source of a frequent complaint I've seen in beta, where a subscriber could choose to append #chat or #poll to the subject of a message that has nothing to do with an actual, ongoing chat or poll.?

If for some reason you want a second hashtag to appear alongside the automatic one, you have to put that in the subject line yourself. You've already mentioned that someone has manually added #monthly to the subject line of the existing member notice of type guidelines in ShalsTest. Similarly, if you were to click on New Poll, you can freely insert a second hashtag in the Title field to go along with the #poll one that will subsequently be appended, or add one to the Event Name in a calendar entry, etc.

As you may know, there is a limit of five total hashtags in a subject line. If you were to put five manual hashtags in the subject line of a guidelines Member Notice, I don't know which -- if any -- would be bumped off in favor of #guidelines. It could be that the message would be held up in Draft form until you log into the site and fix it.

Michael -- Per the hashtags, these two emails are not really the same.?That said, there could be a bug. When I look at the event (as a GMF Moderator via the edit screen) no reminders are set up. So I'm not sure why we're getting the first one.?

We are an animal health group and use databases, for example to collect veterinarian addresses recommended by our members. Also we collect addresses of various specialists and clinics.
We also use databases as a link collection concerning animal health issues.

Bruce, this trick worked:-) Thanks. Space is not the problem. Most of my files are word documents.

It would be helpful though if sometimes one could just copy a file or a pdf because it?s needed somewhere else. And not quite understandable why its possible to remove a file but not be able to copy it.

As a system hashtag, #guidelines is?automatically allied with your monthly guideline notice, similar to #poll or #cal-invite.

Ways I have used a database. My group is a graphics sharing type group.
Here are some of the examples I have used a database for.

1) To ask?my members what they would like to have shared in the group as far as theme shares go.?

2) Extras they would like to have shared or made
?
3) To fill out as to why they are going on Special Notice and expected return so their settings aren't changed to individual mail
?
4) Names they want me to look for to send them Snagged Personalized Tags
?
5) to list artists that have given my group permission to use their work along with the copyright information that is needed.
?
6) List of General Permission artists who allow all to use their work along with their copyright information that is needed
?
7) My Ads letter group I use Databases for
7a New Ads to be added to the letter
7b Changes made to ads
7c Groups to be removed
7d A list of all groups and whether they sent out the ads letter to their group
7e Waiting List of groups
7f Spotlighted groups - so everyone gets a chance

Hashtag Behaviour

 

The owner of the group I moderate raised a question about our monthly notice and its hashtag which I have been able to deal with, at least for now.

However, there remains an oddity that I have been unable to track down and work out.

The Monthly Notice is sent out with the hashtag #Guidelines, which is perfectly reasonable. As might be expected there is a Guidelines hashtag in the Hashtag Library. What there isn't (at least as far as I can see) is any Setting that allies this hashtag to the Monthly Notice. The hashtag is not present in the subject line of the notice itself, at least not when it is viewed in the Member Notices section.

The only thing I can see as a possibility (and it might even be a bug) is that the Monthly Notice is set to be sent as a Special Notice, and the Guidelines hashtag is also set to be sent as a special notice when used. Is it possible the Groups.io has put 2 and 2 together and come up with 4, albeit correctly in this case?

I simply cannot find where the "system" has been told to apply this hashtag to this message. I just hope the answer isn't so blindingly obvious that I ought to have found it...

Perhaps it's time for some more tests somewhere...

Subscription prefs not working right? #settings

 

in this group in my email settings ?I have selected "daily summary" and in advanced settings I selected "what I follow" (sorry if I'm not using the exact setting name, I don't have the screen in front of me right now)

but I am getting Individual emails and not a daily summary, and I am getting All emails on all threads, not just those I have followed

are these settings not playing well together?

Ideally I would get a daily summary of ?emails in the threads I follow. ?Second best would be a daily summary of all. ?

Victoria -- There is no convenient way to copy files in bulk. Perhaps your best bet would be to export the entire files area to your desktop (Admin>Settings>Export Group Data) then bulk-upload the files you want to copy to the new location (/g/GroupManagersForum/wiki/Bulk-File-Upload).

Note that by doing this, existing file ownership information would be lost.

In our case this concerns hundreds of files.
Please give some consideration to whether duplicating so many files will put your group over quota.
