Re: KBARA merchandise costs update

Dusty makes a good point about the physical size of a challenge coin. Thankfully, nothing is permanently set yet. The manufacturer has 1.75 inch and 1.5 inch sizes as well. Smaller size will also reduce the cost per coin a little. For a comparison, if you've ever held a 50 cent piece like the one in the picture attached to this message, that is about 1.2 inches in diameter-

Anyone else like Dusty's idea of a smaller, easier to everyday carry size challenge coin? I think he's definitely correct and I agree a 1.5 inch coin would be nicer to keep on you all the time!

Reply with your ideas!

Hello KBARA members!

We have received a reply from the challenge coin manufacturer regarding our club's 75th anniversary commemorative coin. The total cost for 100 coins created and shipped will be $733. This will be for a 2 inch, full color on both sides, gold coin that will have the KBARA logo on one side and the ARRL affiliate club on the other. If we pay a $175 down payment, they will begin the design work on the coin with unlimited edits to the final appearance. They will send us graphic files showing the design for our final approval before completing the order.

We have received 52 orders for club tshirts so far, with the majority ordering at least two, so we've reached our 100 shirt minimum order requirement! We plan to wait till Monday May 2nd to place the order to give everyone a last minute chance to get in on having a club shirt! We hopefully will have the shirts in time to distribute them at the May club meeting.

We have 59 name tags ordered so far. This brings us high enough to get the lowest possible price for club name tags. We will also wait until Monday May 2nd to submit this order to give any who still want to get a club name tag a chance to do so.

When adding up the total costs to the club for all these items, it will equal $50 per member for every member to receive TWO shirts, one name tag, and one challenge coin. This takes into account only the 52 people who have placed an order receiving these items; if each one chose to donate the $50, this would completely cover all the costs for these initial orders and setup costs and such. Due to the minimum 100 quantity required by the challenge coin manufacturer, there would still be 48 coins left that could be sold to new members or club supporters that will be above and beyond the total costs to the club.

The club members present at our April club meeting approved the acquisition and costs of the shirts and name badges, but only unanimously expressed a desire for a challenge coin to be made and approved getting a quote for them. As the total cost of the challenge coin order quoted exceeds $500, I cannot personally approve this expenditure as club president without a majority vote in favor of doing so. The coin manufacturer states the quote is valid for 30 from today, which would be May 28th, well after our scheduled May club meeting. The design work on the coin will not begin until the $175 down payment is paid. Once design work is completed and the final appearance of the coin approved by the KBARA, the manufacturer estimates 3 weeks till they're shipped.

This leads to my question for you members; would you like to vote via email and/or text to approve/disapprove of the challenge coin costs, or just wait till the May club meeting to do so? The only advantage to deciding immediately will be that the coins will definitely be in hand in time for SeaPac and Field Day, both of which will be potential places to use them to gain more club supporters. Otherwise, waiting until the May meeting to approve or deny permission to purchase the coins will still leave plenty of time to receive them in time for the July club picnic and the actual 75th anniversary date in October.

Please do reply to this email to let us know what you'd like to have done as far as having a vote for buying the coins right away or waiting until the May meeting!

Thank You Jon!

?? This is a great idea!? Between ARRL templates and guidelines, your prior experience with conventions, my experience with the annual Rock, Gem, and Mineral show at the Fair Grounds, outstanding connections with Discover Klamath and the possibility of a Tourism Grant, and the generous contributions of the many knowledgeable members, we should be able to put on a great event!? (Sorry 'bout the run-on sentence...)

Obviously we are on that schedule now for the first event. What may not be obvious is that we will need to start planning for the 2024 event before we hold the 2023 event, in April 2023.

As I have mentioned before, Tammy and I have done a fair amount of event planning over the years. I have been involved in several moderately sized annual conventions in department planning and as an executive. It is my experience that planning for an October event should begin in April the year before the event. This establishes a reasonable working pace that allows for training new folks in jobs and finding creative solutions to problems that inevitably crop up, and is much less likely to burn folks out. September and October will be crazy, there is just no getting around that.?

My intention is to make this a Gotta-Be-There annual event. The last thing I want to see is a half-assed attempt at a convention. We can always scale up from where we start, but we need to cover the basics to be considered a convention. We can be a major player in the space. It just takes commitment.

Currently I am working on a notes page based on my copious margin notes in the ARRL Convention Organizers Guide. KBARA engraving options

?Hello KBARA members!

Attached is the sample item and price sheet for the various KBARA logo engraved items available to us from the local vendor.

As a head's up, the club will be purchasing five of the example number 7 name tags, with the red background and white lettering, to distribute to whoever is the current club officer for president, 1st and 2nd vice president, secretary, and treasurer. These will just have "KBARA" and then the specific title, so they can be passed to each successor for those?positions. So you are encouraged to order one of that particular style and color combination, as that will help reduce?the total cost for all and will offer some uniformity for club members!

To place your order for any of the items on the attached sheet, please reply to this email with the following information-

-Item # from list
-specific color and/or options desired
-exact description of what you¡¯d like engraved
-total pieces desired

Let me know if you have any questions,?and thank you for your?continued support of our club!

In the past to rev up some interest we have been known to schedule a hidden transmitter Fox Hunt in the morning prior to the picnic.? Also on July 16th, Ruth, K7RFO will be honored by members of the Oregon Emergency Net (OEN) to be held at Moore Park starting at 2pm.? So there you have it, you can feed your face at Wiard park then drive over to Moore park and say hello to Ruth.

On Saturday August 13th the annual Crater Lake Rim Run will be held.? KBARA supplies the communications for this event, we are always looking for volunteers.

Oh, and don't forget the SeaPac convention to be held in Seaside Or the first weekend of June.

Greetings All,

I spent some time going over the document from the ARRL on setting up a hamfest/convention and I think we are ready to hit the ground running. Even better, my wife, Tammy, who has done event planner/coordinator gigs in the past is also on board. We have done events together and they have all gone very smoothly.

That being said, I would like to do a Zoom call in the evening some time next week with everyone to discuss some planning elements to make sure everyone is on board before moving forward.?

If you are interested in participating please reply to this thread and let me know when is a good time and day for the Zoom call. I will post the final date and time as a reply to this thread on Monday.

I set the hashtag #KBARAhamfest to only send replies to people who FOLLOW the hashtag so we don't swamp anyone's mailbox.

Re: KBARA T Shirt order time!

Erik,

I haven't been able to be there on Wednesday meeting times as it's on a church night. However, I do want to get a membership check to you and keep supporting KBARA. Should I mail it to you?

Also, I would like to get two t-shirts and pay costs plus. What is the cost to the club for these shirts?
