#technology #meetingsphere Greetings from #lockdown in Rome. ? I tried to see if there was a thread to add this question to on the google groups- but couldn¡¯t see how to do it. We are in a steep learning curve on this. ? A question- has anyone used?MeetingSphere? And if so- is it good for a mix of large and small groupwork? Is it good for bigger discussions as well as more hands-on planning? Does it need special facilitation to use it or easily used by anyone? ? Thanks a lot for any insights you can share! ? I responded privately to Nadia, but perhaps should have included everyone. I have used MeetingSphere for several years now and could not be without it.?

For example, I almost always use it to get conversations going before the meeting or training sessions begin, whether those training sessions are face-to-face or virtual. I ask people to make intros, respond to questions, describe challenges,grab the prework reading, etc. That way, I can better focus our real-time discussions or learning programs on what people want to talk or learn about. Plus, it saves a ton of time during the real-time meetings, letting us jump right into the discussions at hand. Whether used asynch or synch, people can build on each other's responses if they like. Each question/activity can be made anonymous or not.

For real-time virtual training sessions or meetings, I use it as well, usually with an audio/video app. I can easily carry over the prework responses, and also set up brand new activities, which usually include a series of brainstorming sessions, idea exchanges, mini-presentations, surveys, etc. It's very intuitive for participants to use, and keeps them engaged by using different activities. As the facilitator trainer, I love the fact that with a click of a button, I can create a full written report, including all of our prework and content generated during the meeting, and make it available immediately afterwards.?

While I'm trying to suss out how to start new threads via email (I assume it is just change the subject line, but I need to test), I'm starting a thread on getting/giving help on tech choices and implementations. I'll copy Nadia/Nancy S-M's answers here for future help. I need to understand group.io's threading better than I currently do! I think if we use hashtags that will help to. #technology?
Also, if you find the volume of this list overwhelming, you can filter messages into a folder in your email client, change your notifications on the site?/g/f4c-response |

Update on Friday's Zoom at 7am PDT (remember, rest of world is not yet on daylight savings time. Check your times) - We have some amazing folks from the World Food Programme who are going to ecocycle live with us their move to moving more meetings online. The moment to stop, step back and look at the systems view. Thanks to Enrica Porcari and Fiona Chandler. I'm trying to put events into the group calendar as well.?

¿ªÔÆÌåÓýNancy and everyone: The longer answer is that my travel plans changed literally mid-flight this weekend. I was headed to Orlando, to keynote a conference Monday (today). Found out when I got off the first leg of my flight (Atlanta) that the conference had been canceled while I was on the plane. So, 36 hours after leaving home, I was back. I share this because the group will be shifting the conference to online. Timely for this conversation! I have taught and facilitated online for 5 years or so, and so I am excited to both share what I've learned, and especially to learn from everyone else. Despite my concerns about equity and inclusion with regard to tech, I strongly recommend that a strong expectation that things like muting of microphones, arriving early to test sound and any other tech (video, chat room, direct messaging.) should be built into the culture of online meetings. New attendees should receive onboarding and a chance to get up to speed before the first "official" synchronous meeting.?
But, internet connections sometimes fail or lag, there are echoes that will crop up, dogs will bark as soon as you unmute, and that will require empathy. Just like when the office manager pops their head in during a meeting, someone on your team has horrid hay fever and can't stop sniffling, or the fire alarm goes off or an ambulance drives by an office building. I think we like to romanticize the "quiet attentiveness" of a meeting room when we hear the aforementioned dogs or kids or coughs. Reality though? It might not be the kids or the dog, but you still have disruptions.? |

Community World Cafe on Thursday, March 12: Staying connected online in times of social distancing
?
In these times of complex uncertainties and health concerns, it is more important than ever that we take every opportunity to connect online.?? We may not be able to be in the same room (due to travel restrictions, event cancellations, rules around social distancing, etc.) - but we can be present with each other in the virtual space.? Together, we CAN strengthen the social fabric and support each other. And together, we can continue to build the field of meaningful online conversations.? This is why we have chosen to host the Community World Cafe on the topic of "Staying connected online in times of social distancing".? Our thanks go to our dear friend and colleague Nancy White for inspiring us with her work in this field - and for sharing the first blog post in her planned series that formed the starting point for this event!?

Beware of the criticism of the bad internet connection. It is easy to forget there is an extreme geographical privilege in internet connections. My internet connection maxes out at a whopping 12 Mbps with the best speeds available at an unconscionable price (similar to what I paid for six times the speed in Chicagoland.). I would hazard that a good headset is an equally fraught consideration for some people unless there is corporate provision of those headsets. (and frankly, I find headset users often more likely to be the source of audio difficulties than handset/computer microphone users.) That is considered very fast in my rural area. Despite that, I am able to work online in an agile manner just because I do whatever I can to make those Mbps count. That said: I am techy. I can't expect the same of others in similar situations.?

Lots of great advice already. We have found it really helpful to create a shared google doc that we call our "virtual flip-chart" and where note-taking from small groups is clearly structured - tables with clear headings and written out instructions, different background colors for different groups.
If you have an issue where everyone has to work together to make progress on something, you can do a great shift and share if you have small groups (mixed online and in the room, external participants calling in to their buddy's phones) first work on an issue and fill in their chart together, then have an activity where they review and comment on everything everyone else has written. Having a shared document can be especially useful in low bandwidth situations where spoken conversation alone is frustrating. And when they all write together there can be a different level of shared commitment to the result, than if you just have a large collection of post-its on a wall... Good luck. Eva |
