RSVP

Hi.

Does anyone have any experience of using the feature to request/track RSVPs to events that is included in the (paid) Premium and Enterprise plans??

There's a (very) small amount of information about it at the foot of this page?/static/pricing?and a longer discussion of how the beta version worked back in 2016 here??but I'd like to know more about how it works and how it looks today.

If anyone is setting up an event with RSVP in the near future, I'd be grateful for information about how it works, perhaps with screenshots.

Our association is currently on the free Basic plan. We've been using Punchbowl

I have that same question. We are debating going to the paid upgrade to be able to just add members to our group that our untechnical, and the event rsvp feature is a big bonus. And then if we do that, can they jus click "rsvp" or do they have to log in?

RSVPs work in a manner that is very similar to polls. The link in the #cal-invite takes you to the groups.io site, where you have to click a button to Accept/Decline. And if you aren't logged in, you have to do that first. Unfortunately, a large subset of the Subscribers in my groups find logging in to be too burdensome, and instead respond via email. You might have more success in your group, but it's mainly for this reason that I find these functions to have limited utility.?

One thing I'm unsure of, since I don't regularly use it...many of our events are set up months in advance and people simply do not know if they're going to be able to attend when the #cal-invite goes out. Do #cal-reminders also have the RSVP link??If not, they should.

Hope this helps,
Bruce

Hi,

I've been doing some testing of that function and from what I've seen it works OK but there's a limitation. Here's a summary of what I've found so far:

  • Events can be added to a calendar and an RSVP requested.
  • Emailed invitees get a link to use the RSVP function which you have to do online (you can't RSVP by email)
  • An event can be limited to a certain number of people and if you RSVP within the limit you get confirmation that you are on the event.
  • If you RSVP to say you wish to attend and the event is already full, you are added to a wait list and there is a message shown at the top of the screen to confirm this.
  • Someone placed on the waitlist is told their position on the list as they are added. I've not seen any way of checking to see if you have moved up the list once you are on it.
  • There is an option for the event organiser can email all attendees.
  • If an attendee updates their RSVP status to say they will no longer attend, the first person on the waitlist is automatically added and they receive an email to confirm this.
What I have found though is that event waitlists cannot be managed manually by the organiser. So, for example, if you know that a confirmed attendee can no longer attend but they are either unable or unwilling to update their RSVP status to free up a space for someone else, you cannot do it for them.? The only way you can effectively add the next person on the waitlist to the event is by adding another space. I have raised this issue with support (ticket 8127 on 28-Jan-19) and received the following response from Mark:

Unfortunately there is currently no way to change RSVPs at the owner level. It's on the TODO list, but I'm not sure when it will happen.
So, I wouldn't bet that this will change anytime soon.

I hope that helps for now.

Regards,
Andy

To answer my own question:? Yes.?

So that's good.

Had to do the testing in ShalsTest, because RSVPs are a Premium-only feature.?

Attached is an example of an RSVP screen. I didn't populate everything when I set up this event but it should give you an idea.

Question, when they go to rsvp to an event sent to them online, do they have to log in to Groups.io or can they do it without logging in? Critical because some of our older members are too confused to create accounts so they just have the emails-only functionality.

Bruce gave you the answer this morning, /g/GroupManagersForum/message/14933

A person's email address is their account, so they don't need to create anything.? They can even log in without creating a password, /g/GroupManagersForum/wiki/Logging-In

For future reference, I've created a new wiki page:??/g/GroupManagersForum/wiki/How-RSVPs-work.

Most of the content has been plagiarized from Andy's post on this subject. It remains a little crude, so feel free to fine-tune it.
