Managing Files & Photos

My group has run out of space for Files & Photos.? We're discussing the paid option to increase our allowed space, but I have some questions:

1) Is there any way to search/sort/filter the Photos by size, to maybe pick off some of the largest offenders?? I see where you can sort individual Files albums but size, but I can't find any such option for Photos
2) Is it possible to delete or clear out the Emailed Photos album?? Alternatively, if I turn off the "allow attachments"? option for the group, then turn it back on, will it clear out that folder?
3) If I reduce the "max size in email" for Photos, will it auto-resize all the emailed photos that are there now?

Thanks in advance

Robert

Robert,

My group has run out of space for Files & Photos.

Have you selected Delete Old Attachments for the Out of Space control in the Message Policies section of your group's Settings page? Is that a viable choice for your group?

There are a couple of reasons it might not be suitable. First is that there is no mechanism (short of downloading and re-uploading) to protect useful content from auto-deletion - the babies go out with the bathwater. Second is that it does nothing about uploaded files or photos, only ones that arrive by email.

Not that I'm aware of.

A list view of a photo album, allowing one to sort by size and other columns would be a welcome addition. Or even just adding Size (storage) to the existing sort options.

2) Is it possible to delete or clear out the Emailed Photos album??

Not in bulk. You can delete them one by one in the Emailed Photos album, which causes the message to be marked as edited. You can also edit the message to delete its attachment(s).

There have been several discussions in about ways to handle the rampant duplication of attached images in particular. The only thing that has been implemented so far is that images with a longest dimension of 100 pixels or less won't be displayed there.

?
Alternatively, if I turn off the "allow attachments"? option for the group, then turn it back on, will it clear out that folder?

I haven't tested this, but I doubt it.? If it worked I have to believe that someone would have mentioned it in GMF or beta by now.

.
3) If I reduce the "max size in email" for Photos, will it auto-resize all the emailed photos that are there now?

No. A method for in-place resizing of stored images is also something that's been suggested in the beta list.

to which Shal replied I haven't tested this, but I doubt it.? If it worked I have to believe that someone would have mentioned it in GMF or beta by now.

I have conducted a test and Shal's doubts are correct. Setting Attachments to Strip rather than Allow makes the emailed photos section disappear from view, although the storage used by it remains on display in Photos.

Resetting Attachments to Allow results in the emailed photos section reappearing just as it was previously so that is not a method of clearing it out.

Shal; I used your test group for this, and I have left everything as it was previously. I note that the Activity Log is not entirely helpful; it merely records that a setting has been changed without any detail of what has been changed. Similarly undoing the change results in another (identical) entry saying that a setting has been changed.

Thanks for the replies, guys.? I started taking up a collection to buy the 10GB storage, but I fear there's not enough participation, on an ongoing basis, to sustain it.? So I may go with my Plan-B, which would be to create a separate group solely for storage, just to relieve the current "crisis", allowing more time to slowly, manually comb through and clean up the files/photos.? 1GB should be plenty of storage for what we do, it's just the email attachments thing that's killing us.? I wish I could set an expiration date.?

Oh, and yes, I do have the "delete old attachments" selected, so attaching new files isn't a problem, but if someone wants to upload something to Files/Phots, they're unable to.
