How to change the max attachment size setting for the entire group?


 

Hello Group managers,
? ?I manage a group with 650 members.

? ?I discovered today that when I set up the group a few months ago and added the 650 members, the max attachment size was set to 5MB.? This is causing problems in that it is sometimes exceeded, and then the link that is inserted requires a Groups.io Login.? Most of our members just use email and never login to the Groups.io website, so they find this request to login to be very confusing.

? ?My question is how to change the setting to unlimited for all 650 members.? I really do not want to have to do this one person at a time.

? ?Also, there is a huge distance between 5MB and unlimited.? It sure would be nice if there were options to set a maximum at 25MB or 50MB or 100MB.

You can change the attachment size by going to Admin, Settings. Choose the second tab (button) Default Subscription Settings. Scroll down for Max attachment size.
Don't forget to save settings by clicking update group.

To answer your question, you can't.? They'll either need to change it themselves or you can do one at a time.

? ?Doing that just changes the default for newly added group members -- not my existing 650 members.? It sounds like Duane has the answer -- I have to change it one at a time manually, or ask group members to do it themselves (which I'm not going to try because it'll be beyond their level of expertise?in many cases).

? ?Shucks, there should be an admin way to do this all at once for the whole group.

You can change the attachment size by going to Admin, Settings. Choose the second tab (button) Default Subscription Settings. Scroll down for Max attachment size.
Don't forget to save settings by clicking update group.

At times, that may be true, but I think the expectation is that you'll use the proper setting when creating the group, before there are members.? You could make the suggestion on the if you can't find an existing topic that discusses it.

Yes, I agree.? Unfortunately, I was new to Groups.io when I transitioned my group there from Yahoo Groups, so I didn't know the proper setting.? When I initially set the max attachment size default to 5MB, I didn't realize that the link Groups.io generated would require a login to work.? I thought it would work like the line Gmail generates for large attachments that do not require logins.

I'll make a suggestion about this in the Beta Group if there is not already an existing topic.? I expect it is a fairly common use case as most people who set up new groups in Groups.io are probably new to the platform.

I wonder.? The default for that setting is unlimited, so I'd think that if anything folks would leave it there unless they had a reason to change it.? I actually have it set to 0 (no attachments, only links) on a couple of my groups because I know there are some folks still using dial-up and don't want to burden them.

I have limited bandwidth that falls somewhere in between (one of the joys of living in the boonies) so have my email set to ignore attachments over 250KB.? Many (most?) people have unlimited, high speed bandwidth and don't consider the situation others may be in.? I'm a bit irked, but not totally surprised, when someone attempts to send me a 12MB picture that could easily be reduced to 100KB or less because they usually don't have to think about it.

Jim -- A login should not be required to access an attachment if your message archive is public.

If it's private, it stands to reason that you would have to log in first, because the attachment -- like every other part of the message archive -- is thus restricted to group members.?

Be careful with this. As Duane stated, many people are on metered internet or have data limits, especially on their phones. On that basis I think the system should default to a 5 MB restriction for new groups, and have to be manually changed to unlimited.

More generally, I'm personally still unclear on what you consider to be broken and what suggestion you might offer to fix it.?

It would also be indexed by Google etc. if it were public.

They can just click on Email me a link to log in. It is a rolling renewal for 30 days each time they visit the group page. So if they visit within 30 days, they don't have to do anything.

Question: I know that users can put more restrictive attachment size on their subscription. What if you had larger and then suggested to those with limited band width to change their own preference? And can the individual set their own attachment size as larger than the group setting?

How can you change the max attachment size for current members?? I have a small list, and set the size to 5MB initially, but it won't forward a 4MB attachment (replaces with a link).? I have changed the size for new subscribers, but can't find how to change for those already subscribed.

Yes, I do want to change it.? This list is for the members of a dog club, and our minutes/agendas and event announcements?are being blocked.? This is a small group, and everyone has high speed internet, so size isn't a problem.

I had initially set the? max size to 5MB, but need it to be bigger.? I've changed it for new subscribers, but that will only affect new members.? All members?need to be able to receive these documents.

Remember that a 4Mb file will be a 5.5-6Mb attachment. That's the way email works, files have to be encoded and so swell by anything from 30%-50% (typically).

In addition to what Duane said, if you look at Admin > Settings > Default Sub Settings (button) you will see the default settings for new members and why you had a 5MB limit to start with. See the Owner's Manual at /helpcenter/ownersmanual/1/setting-default-email-options-and-user-settings/default-subscription-settings-panel
