Can I Send Group Guidelines as an Attachment
#howto

#question
Our group's Guidelines are long, so I am wondering if there is a way to send them out to new members as an attachment through groyps.io? ?I know I can send them as full text in a Member Notice, but I fear no one will read that. ?I see no way to include an attachment in a Member Notice. ?I know I can post the link to the Guidelines under Files in a Member ?Notice, but that means someone has to go to the website to read them, something I sincerely doubt they will do.
i just need to figure out the best way to get new members to read the Guidelines. ?Right now I am sending out private emails with the Guidelines attached as a pdf file, ?but I was hoping for a more automated method through groups.io. |

You may be right, but if I send the Guidelines as a pdf, that file can be saved on the receiver's computer and read and referred to at any time.? The single member notice containing the Guidelines is likely to be lost.? I was just hoping for an attachment work-around.Anne, your Guidelines document would also be saved in your group page. See GMF's homepage and it it the second item after Home. Frances ? -- FAQ on Moving from YahooGroups GMF Wiki: (unofficial) Help for members (and would-be members) and group managers |
BTW, since guidelines appears on your homepage, it has an URL. And you can save it as a PDF. I just did for GMF on my Mac. See the attachment.

It won't be an attachment but it'll contain a link to the file. Samuel |

You were aware of some of the functions of Guidelines already. Sorry.? Since you can get a URL for Guidelines on your group homepage and the Welcome notice allows you to add a link to it, could that work? That would be automated. I am wondering if there is a way to send them out to new members asI'm not sure how many members you are allowed to send a message to simultaneously, but if you go to Admin, then Members, then select all members, then click the Action button at the bottom of the page and choose "Send message", then that form *does* give you the option to add an attachment. Samuel -- Off-topic: your question prompted me to see if one can include an attachment in a member notice, but unfortunately since we can't access the message headers, we can't add attachments (e.g. in base64). You can add images directly into member notices, e.g.: < i m g src="data:image/png;base64,iVBORw0KGgoAAAANSUhEUgAAAAoAAAAKCAIAAAACUFjqAAAAAXNSR0IArs4c6QAAAARnQU1BAACxjwv8YQUAAAAJcEhZcwAADsMAAA7DAcdvqGQAAAA6SURBVChTY3gro4IHgaT/f2LAihDSSht90BC6NMOiF3CEXfr/ST4gIlcajrBIoyEUaawIKo0TyagAAPL3kO0ip4wtAAAAAElFTkSuQmCC"> ...but then it's not an attachment, and you can't add PDFs this way anyway. -- |
Frances, I see how the Guidelines appear under Home (and above Subscription) on the GMF page, but how can I insert Guidelines under Home on my group's Home page?? I like that idea as a way to keep the Guidelines up-front to members. The file I have under Files is a PDF.? I just don't understand how to get them on the Home page.? Think I would also still send them privately to new group members.

Choose Guidelines. Paste your notice. Activate it. Save.? As I said, Guidelines is different. It will automatically populate that field in your sidebar. From the wiki - I won't bother to hyperlink the URLs - you can visit and see. /g/GroupManagersForum/wiki/Member-Notices Extra options for the "Group Guidelines" notification:
?
The "Group Guidelines" type of member notice operates differently and has the following features and options:
?
When you set a "Group Guidelines" notice, a new tab appears on the left called "Guidelines" with the notice's content in it
You can make the "Group Guidelines" notice visible only to members (this relates to the Guidelines tab on the left)
You can set two different subject lines (see the official help pages for more details)
You can set the "Group Guidelines" notice to be sent when people join as members
You can set the "Group Guidelines" notice to be be sent every month
If you set it to be sent every month, you can choose to send it as a special notice, to ensure that members who are subscribed as "Special Notices Only" will also receive it
You can only set one "Group Guidelines" member notice at a time (it will disappear from the dropdown list when one such notice has been created)
Also:
?
Since you can use hashtags in the subject line, you can the hashtag functionality to do certain things, e.g.:
delete the previous guidelines post from the group automatically by setting the hashtag's duration as "one month".
set the hashtag to "locked" so that no-one can reply to the guidelines post.
The guidelines can be sent manually by a moderator to a group member at any time, in case the member needs a review of the guidelines

If you want to send a message on a regular schedule you can use a calendar event for that.?
