Yahoo Groups move process


 

I'm getting ready to move a group from Yahoo to here - how have you handled the transition on the Yahoo side? I don't want people to post to the old site so I'd disable posting privileges for each member (only 50 or so) or change the email address. Then maybe delete the Yahoo group after a week or so. How did everyone handle that, and was there anything else that you did at the transition?

Hi Jim,
First, send an invite to [email protected].?
2.? They will accept the invite.
3.? You will get a notice from yahoo stating that they have accepted the invite.? At that point, set [email protected] as a moderator unchecking everything listed for moderators.? They will set that account to no mail so just leave that setting alone.
Once you have done that send an email to [email protected] letting them know that you are ready to transfer the group.? Provide to them the address you are moving from as well as the address you are moving to.
4.? They will transfer all the content from it's members, files, photos, and message archives to the new group.?
?
As for fixing it to where members cannot post, could easily set the old group to announcements only but you could easily just let them keep acting normal in their posts.? Because that conversation will eventually get moved anyway.

I believe Mark asked folks to include a list of what you want transferred in the "go ahead" email. No sense in him taking the time to do it if it isn't needed. Databases can also me copied, though there was a glitch awhile back (Yahoo formatting problem) and I'm not sure if it's been fixed. Last I heard it would require some owner/moderator tweaking after the copy is done. If it were me and I wanted everything, I'd just say that so I wouldn't overlook something.

I would issue lots of announcements to the members before the move explaining everything, but I would set the yahoo group to announcements-only *immediately* after the transfer is complete. You domt want half the conversations in the old group and half in the new group. Any posts to the yahoo group after the transfer will not be moved over. It's a one-shot deal, unless you ask Mark again later to transfer the straggling conversations.?

That's what I did, and it was very clean and unconfusing.?

I also put a banner message on the yahoo site explaining that the group had moved and giving the address

I also plastered a message about the move on the yahoo group home page, in case anyone missed the emails/posts about it. But I sent messages about once a week for about a month prior to the move, so that nobody was taken by surprise.

How do you set yahoo to announcement only? I need to do that. Some members forget and post to the old group.
The banner would not help since most post by email.

You don't have to switch the members individually. Instead you can change the "Messages-Who can post?" setting to "Moderators Only".
Management > Control Panel > Access Control

Another option would be to change the group's Message Moderation setting to "Moderated". This will only be effective if (most of) the members are set to "Default Group Policy". In the Manage Members list that shows up in the Posting column as "Allowed".
Management > Control Panel > Moderation

An advantage of using Moderation to halt new posts is that you can use the "Reject with Reply" function on any pending message, and in your reply remind the member about the new address. This will undoubtedly happen at least a few times when email-using members reply to old messages but forget to change the address.

I would not recommend changing the group's email address: that will also change the web address and may leave some people wondering if the group simply disbanded. Better to have the Yahoo Group still in place, sporting a "We've moved" sign.

Again, I don't recommend that because the Yahoo Group can still serve as a "we've moved" sign for any members who were on vacation or otherwise didn't get the message. Or prospective members who found the Yahoo Group by a reference cited somewhere.

This may not be big concern with as few as 50 members, especially if they are well known to you (or at least, know you well enough to have an email address or other contact info for you).


I also concur with J's advice to put a link to the new group in the Yahoo Group's description text as well as the "Group Website" field. Having links to the new group will improve its search ranking in most web search engines, if that's important for your group's recruitment of new members.
