Should we be clearing out the message history in our group?

If so how do we do it instead of one at a time??

change, the following are what are counted towards the storage limits
for your group:
? Files
? Photos
? Images in databases
? Images in wiki pages
? Message attachments
Messages themselves are not counted towards the storage limits, only
any attachments.

I find the message history a valuable archive. There is a search engine too.
In a couple of my groups which are for volunteer committees, it means I don't have to use my email inbox to save the emails. All safe and tidy in my Groups.io.

Hi Lavon,

Personally, I find the *message history* the point of having a group :)
It gives me a way to see how we have grown. It reminds me of the stuff we used to flap about and now have solved. ?Lots of good stuff.

The group I'm talking about is a tag group with images in the email. These are like photos and we don't want them to build up to much so should we be deleting them?

You should be able to delete attachments from the messages. I don't
know if "inline" pictures are handled as attachments or not on this
platform. If they are you can delete those but not as a bulk operation
(unless perhaps you have a premium group--those have some features the
basic free groups don't have access to).

Someone else here should know as some have done extensive testing in
test groups and someone surely has information on how pictures in an
email are handled here and if they can be deleted as an attachment or
if the message needs to be deleted to get rid of the picture.

We aren't a paying group so therefor we have 1 gb of space.? Now the dumb question how much is that and how long will it last with a tag group?
I went in and checked and it said? Using 419 MB total storage out of 1GB so how close are we to using our 1 GB when this fills up what do we do then when we have no more room to store ?

1GB = 1000 MB, so you have 1000 - 419 = 581 MB remaining.

Asuming that you aren't using your group's Files and Photos archives (both of which use the same storage allocation) then go to Admin, then Settings and scroll down the page to Message Policies. At the bottom of that section there is a setting called Out of Space; using the drop down set this to Delete Old Attachments, then scroll to the bottom of the page and click on the blue Update Group tab.

Once your total of stored material (i.e. Attachments) reaches 1 GB (or perhaps slightly over) then Groups.io will automatically delete old attachments to make space for new material.

The second link Frances gave you has a section I pasted below. You can
set up automatic deletion of attachments and it works with oldest ones
deleted first. That still won't free up space in the files and photos
sections if you use those. If you need more space there, you will have
to do some manual deletion. The wiki linked to should be helpful. I've
never done that as my groups aren't full of attachments. They are rare
in those groups.

The Attachments drop ¨C down menu provides the following options:

Allow
Bounce
Strip
Moderate

The group from which the screenshot was taken does not allow
attachments and they are ¡°stripped¡±.

The Out of Space drop ¨C down (only applicable if attachments are
allowed in the first place) determines what happens if the storage
limit is reached; the options are:

Delete Old Attachments
Bounce Messages.

Check that the settings match your group¡¯s requirements.

Well, when your group reach 500mb, this will be half of this 1gb.

When this fills up (I personaly would advice you doing it before this happens), you'll have to delete old attachments (files, photos etc.).

then when we have no more room to store ?
If you don't delete anything then yes, you'll have no more room to store anything, however messages without attachments will still be sent (anyone will correct me if I'm wrong :) ).

If you're not using Photos or Files, you can get an estimate pretty easy.? Go to Photos, then look to see how many are in the Emailed Photos folder (first one shown.)? Divide that into the space used (419 MB in this case) to find out about how much space each consumes.? Then divide THAT number into the remaining space (581 MB here) to see about how many more you can expect to store before the space gets full.? Some will be larger and some smaller, so this is only an estimate.? From what I've seen (not much) tags take about 1 MB each, more or less.

I don't think that feature is working, and IIRC Mark has acknowledged that fact. Again IIRC the group I moderate went through the 80% barrier fairly recently and no notification was forthcoming.

Hi everyone!

I am coming back to this because I have just heard about a reason for removing old messages. If you have a change of the group makeup - new committee, for example - and you may think that the chitchat should be eliminated when the new group is selected or formed. I read that you can delete whole topics, but not blocks of messages in several topics. That might be useful in this case. Closing the account and starting afresh would work, but too drastic. Also some may need saving in a subgroup or in database or wiki.

I looked at Premium, but I don't think that this feature is available there either. That would be a possibility for some groups if it were.

Any more thoughts? Worth bumping to Beta that Mark monitors?
