Introductory email for my transition from YG to groups.io

David Walker

Our organization is getting ready to migrate to groups.io, and this is the messages that I sent everyone as an introduction to the change. I thought it turned out pretty well so I thought I would share it with you all. Maybe it will be useful to those of you considering a switch. Feel free to use it as you see fit.

This was the first email...
Dear Yahoo Groups,
?
Both you and I have noticed that for the past few years, we have not been fulfilling each other's needs as we should. Yes, I know that when we first met, we were both full of youthful enthusiasm and we embraced this form of electronic communication with gusto. Your user interface was so lovely and the care you used to deliver my messages was so endearing. I felt special. But lately, you seem to have changed. You are so cold and distant. You no longer deliver my messages with the care and enthusiasm that you once did. My courriels languish in the ether and arrive at apparently random times. Have I done something to offend you? Have you met someone else? Verizon maybe?
?
Alas, after searching my heart, I've decided that I finally have to move on. There's no easy way to say this, but I've met someone new. They're called "". They do everything for me that you used to do and more. They offer me subgroups so I can split communications with my club in a category for public club information ([email protected]) as well as private club discussions ([email protected]). Groups.io even volunteered to work with you to transfer all of our current information into the new system just to make it easier for me. They will transfer all of the members to the new site and transfer the present discussions, files, and pictures as well (unfortunately, they cannot transfer attachments). I have to admit that they have a great looking web interface too, but if you don't have a lot of time, the email interface works well.
?
I hope that we can remain friends. We've had many great years together and made so many memories. I'm certain that we'll both lead remarkable lives. From now on though, we'll do it separately.
?
Best,
?

President, FFBC

This was quickly followed up by the following email which was more nuts and bolts.
If you read the previous email, you know that FFBC is in the process of converting from Yahoo Groups to Groups.io. I'll try to tell you what you need to know, but I know that I'll forget something critical so don't hesitate to contact me.
  • When is this going to happen?
The Yahoo group will be transferred in about a week. When it is complete, you'll receive an email welcoming you to the group.
  • What is going to happen?
I am going to ask Groups.io to do a migration from our Yahoo group to the club discussion group ([email protected]). This will transfer all members of the existing Yahoo group to the new group as well as existing messages, files, and photos to our new group.
  • Why are there two groups?
There are two groups because there is some information that would be useful to people outside the club like ride cancelations, plans for short-notice rides, and club announcements. There may be others as well.
  • Do I need yet another account with another password that I can't remember?
No. You only need to create an account if you want to use the web interface.?
  • How do I post a message to the private group?
Simply send an email to?[email protected]?instead of the current?ffbc_list@yahoogroups.com.
  • How do I post a message to the public group?
First, make certain you want to do this. Posting to this should be for information that should be publicly?available. If you decide that it is appropriate, then simply send an email to?[email protected].
  • I don't want to have a??account, but I want to change the settings on my account. How do I do this?
Send an email to?[email protected]. It will reply with a list of things you can do to change the settings on your account without using the web page.
  • I'm an early adopter and want to join now. What do I have to do?
Send an email to?info+subscribe@....io?and complete the process. Then send an email to?[email protected]?and you will be part of that group instantly. Unfortunately, you have to do it serially. Note that this is not the case when the data is transferred from Yahoo because it automatically adds you to both accounts.
I'm certain I'm forgetting something. If so, drop me a line and let me know.
