Display Name Anomaly
The Group I moderate uses members' Display Names (and other things) to enable members to download technical documents from an Archive hosted completely separately from Groups.io. Members are required to submit a request form which includes their Display Name (and other things!) with these being checked against a list that is downloaded from time to time. If the details don't match then they don't get the documents.
Earlier this week we received a request from someone whose D/N did not match the records, so he didn't get the documents. However, when I delved further I found that (a) his registered D/N indeed did not match that he had given on the request form, but (b) the Activity Log showed that he had edited his D/N earlier in the year to that he had recorded on the request. In other words his registered D/N did not match what the Activity Log had recorded. After some head scratching I asked him to edit his D/N again and this time everything worked as it should. I am unable to work out what might have happened; I wondered if he had "edited" his D/N but omitted to save the change, with a sort of halfway stage resulting. However, I have not been able to replicate this anomalous behaviour using a second membership that I have on the same Group. Has anyone here got any idea what might have happened to cause the Activity Log to show an action that hadn't actually taken place? Chris |

Yvette, I guess. I'm glad the person actually got the email so that I don't have to wonder if they never received it and missed out on joining because their email provider didn't send it on to them. One thing you don't know is whether the email service delivered it to the person's Inbox or Spam folder (or even their Trash). So it is still possible that the person didn't see the invitation if they don't check their Spam (or Trash) folder periodically. Or their Inbox for that matter. Thank you all for your responses.? It is clearer now.? I did send a direct email last week since we hadn't heard a response (which corresponds to the Dec 5th date shown) but have had no response to that one either.? Since the time frame for accepting the subscription is up today, the person will now be automatically rejected and will have to apply again, I guess. I'm glad the person actually got the email so that I don't have to wonder if they never received it and missed out on joining because their email provider didn't send it on to them. Our group only approves subscription requests of people who respond with a little letter of information explaining their interest in our hobby so that we don't accept robots etc.

Yes, the mail I was looking at was from a non-member. It and what you said makes sense.

We use that address for new member requests. They must send an introduction about themselves before they are allowed to join. We use that introduction to forward to the group once they are added. I don't recall at the moment whether storing the content from non-members was discussed. If I had to guess they aren't because the storage is associated with the Member's subscription. Yes, now I see that in our group, it looks like incoming messages to MyGroup+[email protected]?are logged as activity, but the content is not store under the Groups Activity log. I do see replies that I (or other moderators) sent to the sender, but the original message is lost unless it was an inline part of the reply. It¡¯s not really a problem that incoming message content is not stored, but I just wanted to make sure I understand the behavior correctly. Thanks again, Jim?

Do emails to [email protected] get archived on the siteThey can be found in the group's Activity log; select "Message to +owner" as the Action then click Search. They are also stored in the "+Owner Messages" tab of each sending member's entry in the Members list. or are they only forwarded to owners but aren't stored?They are forwarded to all owners and moderators, subject to each owner/mod's Subscription setting for receiving them. The most important part of the message is "Successful Delivery" - the subscriber's mail service accepted the message.? The details are interesting but of no real concern as the message has been delivered and is now in the subscriber's "hands" so to speak.? If you need to follow up with the subscriber/applicant, a direct email is best - either from your email or the Send Message function on the member's page on groups.io. Toby |

Yvette, Response In computer terms a queue does not imply a human-perceptible delay. More to the point, a code beginning with 2 means success, no further intervention is required. The statement "Queued mail for delivery" may be technically accurate, but completely meaningless to users: the mail probably passed through that queue and reached the member's Inbox in a fraction of a second.

This means that outlook accepted the email from your group and has queued it for delivery to the person.? How long it's held is anyone's guess.? If the inbox were full, it would be a different code number instead of 2.6.0, probably 4.2.2 or 5.2.2.? I don't know that it's the best source, but there's a decent explanation at http://emailaddressmanager.com/tips/codes.html

I apologize if this seems too basic to most, but I don't understand what the response line is actually telling me because I don't understand the codes listed.? I am just wondering about this message in a potential member's Email Delivery History.? We are awaiting a response from this person before we approve their membership application and the deadline for approval is looming.? This is what I see:

Janie, Disappointed upon searching that PM's don't exist in the IO Groups, right? So the members simply email each other? Members can initiate PM's to other members via the group's Directory - if the Directory is enabled in the group and if the member you wish to contact has opted to make his/her profile available to other members. This method sends an email to the other member, without you (the sender) needing to know the other member's address. But your address will be exposed to the other member (the email will be From your address) so that the other member can reply to you privately, by email. As Bruce mentioned, there is (as yet?) no Inbox or other means to receive such private messages within the Groups.io web interface. So you can only initiate the private conversation here, replies must go through email. To say users can access the website without a password by using a "login link" is misleading as "login links" are merely temporary passwords. There is no difference in what access they enable, only the duration of access. "Login links" should always include the explanation that they are temporary (30 day) passwords, and the suggestion to create a permanent password along with the explanation of how little effort is required to "upgrade" a login link to a (permanent) password. My testing reveals that the cookie created by clicking a "login link" does indeed expire in 30 days, BUT it is renewed for 30 days upon each new visit so unless you fail to visit for 30 days, or manually log out, it's a permanent login.
